Job Description - Office Administrator

Responsibilities:

  • Office Management:
    • Oversee day-to-day office operations and ensure efficient functioning of all office equipment and facilities.
    • Coordinate maintenance, repairs, and cleaning services for the office premises.
    • Develop and implement office policies and procedures to enhance operational efficiency.
  • Quality Assurance Procedures:
    • Develop, implement, and maintain quality assurance procedures to ensure compliance with company standards and regulatory requirements (ISO 9001 and other)
    • Conduct regular audits and inspections to identify areas for improvement and ensure adherence to quality standards.
    • Collaborate with department heads to develop and update quality control processes.
    • Investigate and resolve quality-related issues and implement corrective actions as necessary.
  • Administrative Support:
    • Provide administrative support to various departments, including scheduling meetings, managing calendars, and coordinating travel arrangements.
    • Prepare and distribute internal communications, memos, and reports as required.
    • Assist with the recruitment process by scheduling interviews and maintaining candidate records.
    • Maintain accurate records and databases, including employee records, vendor contracts, and office expenses.
  • Health and Safety Compliance:
    • Ensure compliance with health and safety regulations and maintain a safe working environment for all employees.
  • Communication and Liaison:

    • Serve as the primary point of contact for internal and external stakeholders, including employees, clients, vendors, and visitors.
    • Manage incoming and outgoing correspondence, including phone calls, emails, and mail.
    • Liaise with vendors, contractors, and service providers to coordinate office-related activities and ensure timely delivery of services.

Qualifications:

  • Bachelor’s degree in business administration, office management, or a related 
  • Proven experience in office administration, facility management, or a similar role.
  • Organizational and multitasking abilities, with a keen eye for detail.
  • Proficiency in Microsoft Office Suite and office management software.
  • Excellent Knowledge of English Language
