Job Description - Office Assistant

Executive Business Consultants is looking for an Office Assistant on behalf of its Client.

Job Description:

We are currently seeking a highly organized and proactive Office Assistant to provide comprehensive administrative support to our team. The ideal candidate will be a multitasker with strong communication skills, keen attention to detail and exceptional language skills in the Polish and English.

Key Responsibilities:

  • Act as the first point of contact for visitors, greeting them warmly and directing them accordingly.
  • Manage busy calendars and schedules for executives/directors and other members of the team, including arranging meetings, appointments, and travel arrangements.
  • Screen and prioritize incoming calls and emails.
  • Handle inquiries and correspondence with professionalism and discretion.
  • Prepare and edit documents, presentations, and reports, ensuring accuracy and adherence to company standards.
  • Assist with personal tasks and errands for executives, such as managing household/office affairs, booking personal appointments, and handling personal correspondence.
  • Coordinate and organize events, both internally and externally, including meetings, conferences, and client engagements.
  • Conduct research and compile information as needed for various projects and initiatives related to the position and in assistance of other team members.
  • Handle sensitive and confidential information with proper discretion.
  • Perform general administrative tasks such as filing, scanning, and data entry.
  • Maintain confidentiality and handle sensitive information with the utmost discretion.
  • Work with other members of the team towards building and maintaining a great office environment.

Requirements:

  • Fluency in Polish and English, with excellent written and verbal communication skills in both languages.
  • Strong proficiency in Greek is highly advantageous.
  • Proven experience as a Personal Assistant, Executive Assistant, or similar role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Exceptional organizational and time management abilities, with the capability to prioritize tasks effectively.
  • Ability to anticipate needs and proactively address issues before they arise.
  • High degree of confidentiality and integrity when handling sensitive information.
  • Strong attention to detail and accuracy in all tasks.
  • Relationship management skills and openness to feedback.
