About the Role:
Embark on an exhilarating adventure in Sepaga's spirited arena! We're harmoniously merging professionalism with passion. Currently, we're on the hunt for a Secretary/Office Administrator (Dual Role) proficient at surfing the waves with us.
Role Highlights:
Client Advocate:
- Maintains client files/records always updated.
- Assist in record keeping of the Business Development department and data entry.
- Assist in annual reviews and data entry of the Back-office department.
- Answers telephones and gives information to callers, takes messages, or transfers calls to appropriate individuals.
- Greets visitors and callers, handles their inquiries, and directs them to the appropriate persons according to their needs, and accommodates them.
Workflow/Office Maestro:
- Maintains workflow by studying methods; implementing cost reductions; and developing reporting procedures.
- Station’s front desk of the Company’s offices, acting as administration officer and personal assistant to the CEO.
- Coordinates office meetings and acts as a personal assistant to any of the Directors of the Company.
- Executes payments for outsourcing, retainer agreements, stationery, and utilities.
- Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout and budgetary and personnel requirements, implementing changes.
- Contributes to team effort by accomplishing related results as needed.
- Completes operational requirements by scheduling and assigning administrative projects; expediting work results.
- Receives and distributes incoming mail and other material.
- Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Ensures that the offices are kept clean and in good operational form.
- Keeps shopping kitchen and other amenities and stock level.
- Undertakes any other tasks assigned by management which are related to his / her work.
- Coordinates the daily agenda of the CEO daily.
Guidance Guru:
- Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.
- Resolves administrative problems by coordinating preparation of reports, analysing data, and identifying solutions.
- Provides information by answering questions and requests.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
Essential Qualities:
- An experience of 2 years in a related position.
- Degree – Secretarial studies/Business or related subject.
- Familiar with MS Office & MS Outlook.
- Fluent in English and Greek language, both written and verbal.
- Charmed C-level executives; We admire your talent!
