Location: Nicosia, Cyprus Job Overview:
The Executive Assistant will be a pivotal figure, working with Executive Management to provide unparalleled administrative and secretarial support. This role is designed to optimize the efficiency and effectiveness of top-level executives, ensuring their time is utilized to its fullest potential. Responsibilities:
- Expertly manage the calendars of Executive Management, prioritizing inquiries and resolving conflicts. Provide insightful recommendations to ensure seamless daily operations.
- Serve as a key liaison, arranging and managing all logistics for executive meetings and events. This includes scheduling, distributing presentation materials, and ensuring all details are meticulously handled.
- Act as the principal contact for all internal and external communications related to Executive Management. Handle highly confidential and critical information with utmost discretion.
- Work closely with Executive Management to track and follow up on upcoming commitments and responsibilities.
- Keep Executive Management informed of all pertinent developments within the organization and industry.
- Collaborate with the Executive Team to coordinate outreach activities and maintain professional relationships.
- Organize and prepare for various events in cooperation with other departments, ensuring every detail is flawlessly executed.
- Safeguard confidential documents and maintain an impeccable filing system.
- Coordinate travel, visas, and accommodation for Executive Management in collaboration with the Group’s Travel Coordinator.
- Undertake special projects and assignments to support the organization’s overall success.
Qualifications
- A University degree is required; a Master’s degree is highly advantageous.
- A minimum of 4 years in a similar role, with significant experience supporting C-level executives.
- Mastery of Microsoft Office and desktop publishing software.
- Exceptional organizational skills and meticulous attention to detail.
- A high degree of professionalism in interactions with diverse groups, including Board members, senior executives, staff, community leaders, customers, and vendors.
- Ability to make informed, judicious decisions regarding priorities and time management.
- Capable of managing a high volume of tasks and projects independently and with minimal guidance.
- Ability to respond with appropriate urgency to various situations and switch tasks seamlessly as needed.
- Maintain the highest level of integrity and discretion when handling confidential information.
- Written and reporting skills, with fluency in Greek and English, both verbal and written.
- Willingness to adjust working hours based on the needs of the position and Executive Management.
