Job Description - Secretary (Nicosia)

Responsibilities:

  • Providing administrative support to management, including drafting correspondence, preparing documents and maintaining records.
  • Managing and organising office files, documents, and records to ensure easy access and retrieval.
  • Assisting in serving as a primary point of contact for internal and external stakeholders, vendors and visitors.
  • Answering phone calls, responding to inquiries, and directing calls to appropriate personnel as needed.
  • Greeting visitors, clients, and guests in a professional and courteous manner.
  • Managing calendars and schedules for management and staff, including scheduling meetings, appointments, and travel arrangements.
  • Preparing meeting agendas, take meeting minutes, and distributing meeting materials as required.
  • Maintaining office supplies and equipment, and placing orders for replenishment as needed.
  • Ensuring the cleanliness and organization of the office environment, including common areas and workspaces.
  • Bachelor’s degree/Diploma in Secretarial/Office Administration or a relevant field.
  • Previous experience in office administration is ideal.
  • Computer literate, including Microsoft Office Suite.
  • Some basic bookkeeping experience.
  • Ability to multitask when and where necessary.
  • Interpersonal communication skills.
  • Attention to detail.
  • Organisational skills.
  • Ability to manage time efficiently and meet deadlines.
  • Problem-solving skills when encountering challenges.
  • Ability to quickly adapt to business changes.
  • Strong verbal and written communication skills in both Greek and English.
