Job Description - Travel Coordinator & Office Assistant

The company offers the opportunity to those who wish to express interest in the position of ‘Travel Coordinator & Office Assistant’, for its premises in Thessaloniki. The position will be reported to the Administration Supervisor.

Main Responsibilities:

·      Coordinate, supervise and implement every aspect of both international and domestic travel arrangements for employees, executives, consultants, guests and groups including airfare, hotel, and transportation bookings.

·      Research on optimal travel alternatives.

·      Create detailed itineraries for all travel arrangements and communicate travel details and changes (travel packages) with employees, executives, consultants, guests and individually to the group members.

·      Assist with any requested change quickly.

·      Negotiate rates with vendors to ensure cost-effective travel solutions.

·      Work closely with Administration Supervisor and travelers to provide optimal travel options that meet financial considerations and project needs.

·      Liaises with Finance and Legal to finalize hotel contracts.

·      Assist Accounting, Finance, Tax, and Treasury teams with issues or changes involving travel expenses.

·      Ensure compliance with travel policies and procedures.

·      Provide support to high level travelers during their trips when requested.

·      Maintain accurate travel calendar, travel records and reports.

·      Ensure to compare invoices with genuine travel transactions to validate every charge and forward it to each department assistant.

·      Answer guests' and employees' questions.

·      Provides administrative support to the Administration Supervisor and ensures efficient office operations.

·      Answer, forward and screens phone calls, schedule and coordinates appointments, meetings, events, including registration as necessary.

·      Coordinates logistics for meetings, including room setup and catering.

·      Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.

·      Greets visitors with a positive, helpful attitude and assists in finding their way around the office.

Requirements:

·      Diploma or bachelor’s degree is preferred.

·      Certificate in English of B2 level (a high intermediate level).

·      Proficient in Microsoft Office and ‘back-office’ software.

·      Experience with coordinating travel arrangements would be appreciated.

·      Administrative experience in supporting teams, individual or organization.

·      Excellent communication and interpersonal skills.

·      Strong organizational and time management abilities.

·      Attention to detail and accuracy in booking travel arrangements.

·      Customer service orientation and problem-solving skills.

·      Knowledge in using travel booking software and technology.

·      Flexibility and adaptability to changing travel plans and schedules.

·      Excellent level of organization, ability to understand complicated logistical information and high attention to detail.

·      Communicate with employees, supervisors and travel agencies with professionalism, clarity and accuracy, delivering travel arrangements quickly.
