Job Description - MNC Shipping Company - Chartering Manager (up to 40k)

The Company

  1. Chartering background with operation experience is preferred
  2. Experience in Charter Party Agreement
  3. Experience in Shipping Accounts Industry

The Role

Key Responsibilities:

Document preparation and review

  • Prepare company and corporate documents (forms, statutory returns, filings) for signature, ensuring completeness and accuracy.
  • Check documents against templates and filing requirements; flag missing information or discrepancies.
  • Maintain accurate, version‑controlled electronic and physical copies of all submitted documents.

Signing coordination

  • Coordinate signing logistics with authorised signatories (internal and external), including scheduling, sending documents for signature, and following up until completion.
  • Ensure signed documents are properly witnessed or notarised where required.

In‑person submissions and collection

  • When required, travel to the company secretary's office at K11 ATELIER King's Road to submit documents and obtain acknowledgements or receipts.
  • Visit relevant government departments / statutory bodies to lodge filings, pay fees, or collect filed documents and certificates.
  • Follow department‑specific procedures (queueing, online booking, payment, ID verification) to ensure successful submission.

Compliance and tracking

  • Track submission deadlines, statutory filing dates, and renewal requirements; maintain a calendar and reminder system for upcoming filings.
  • Log submission details (date, time, reference numbers, contact person) and promptly report confirmations or issues to the Company Secretary / manager.
  • Assist with responses to government enquiries or requests for additional documentation.

Administration and office support

  • Manage filing systems (electronic and physical), ensuring documents are stored securely and retrievable.
  • Handle courier arrangements for documents when needed and prepare envelopes and cover letters for submissions.
  • Support ad‑hoc administrative tasks for the company secretary's office (photocopying, scanning, notarisation arrangements, arranging appointments).
