Job Description - Office Assistant

Salary: $14,735 per month

Entry Requirements: Candidates should have:-
(a) completed Secondary 4 with subjects studied including Mathematics, or equivalent;
(b) attained a level of proficiency in Chinese Language and English Language equivalent to Secondary 4 standard [Notes (1) - (3)];
(c) good command of spoken English and Chinese (Cantonese and Putonghua);
(d) knowledge in Chinese word processing and English word processing as well as in application of other common business software such as spreadsheet and presentation software, etc.; and
(e) relevant working experience in the Government or in public organisations is an advantage.

Note :

(1) For the purpose of appointment to this post, a pass result or above in Chinese Language / English Language in the final examination of Secondary 4 or any one of the examinations of Secondary 5 or above is accepted administratively as meeting the Chinese / English language proficiency requirement at Secondary 4 level respectively. Results at a level higher than Secondary 4, including Level 2 or above in Chinese Language/English Language of the Hong Kong Diploma of Secondary Education Examination (HKDSEE) or the Hong Kong Certificate of Education Examination (HKCEE); or Grade D or above in Chinese Language / English Language in IGCSE/GCSE/GCE O Level; or a full Project Yi Jin Certificate / Yi Jin Diploma / Diploma Yi Jin / Foundation Diploma / Diploma of Foundation Studies are also accepted for the existing purpose.

(2) Applicants holding examination results / qualifications at higher standard than those in (1) above, such as results in the Use of Chinese paper / Use of English paper in the Common Recruitment Examination and the Academic Module of International English Language Testing System (IELTS), and non-local qualifications will also be considered subject to their meeting the language proficiency requirements upon individual assessment.

(3) To expedite the assessment on candidates’ language proficiency, candidates should provide the results in Chinese Language and English Language obtained in local/non-local public examinations in Table (I) “Public Examination Results” under “Academic Attainment” of the Application Form [G.F. 340 (Rev. 7/2023)] and provide the results in Chinese Language and English Language obtained in the examinations of Secondary 4 or above in Table (II) “Education” under “Academic Attainment”, wherever applicable.

Duties: The Office Assistant is mainly responsible for –
(a) Supporting the office’s operations and general administration;
(b) Providing clerical, reception and pantry services;
(c) Assisting in stores and procurement matters;
(d) Assisting in maintaining meeting rooms booking, as well as setting up and tidying up of venue before and after meetings and events; and
(e) Any other duties as required.

Terms of Appointment: The successful candidate will be employed on non-civil service contract terms for a period of 24 months.

Fringe Benefits A gratuity may be granted upon satisfactory completion of the full contract period with consistently high standard of performance. The amount of gratuity payable will be the sum which, when added to the Government’s contribution to a Mandatory Provident Fund (MPF) scheme as required by the MPF Schemes Ordinance, equals 10% of the total basic salary drawn during the contract period.

The benefits in respect of rest days, statutory holidays, general holidays, annual leave, maternity leave or paternity leave, sickness allowance, where appropriate, will be granted in accordance with the provisions of the Employment Ordinance and confirmed at the time of the offer of appointment.

How to apply: Application forms [G.F. 340 (Rev. 7/2023)] are obtainable from any Home Affairs Enquiry Centres of District Offices, Home Affairs Department or any Job Centres of the Employment Services Division, Labour Department. The said form can also be downloaded from the Civil Service Bureau's Internet website ( Applications together with copies of relevant documents (as specified below) should be submitted via one of the following means –

(a) by post to Personnel Office, Departmental Administration Unit, Administration Wing, Room 2561, 25/F, Central Government Offices, 2 Tim Mei Avenue, Tamar, Hong Kong, with the envelope clearly marked “Application for the position of Office Assistant” (the postmark date on the envelope will be regarded as the date of submission of application). To avoid delayed or unsuccessful delivery of applications by post, please ensure that the correct address is clearly printed or written on the envelope and sufficient postage has been affixed before posting. Mail items bearing insufficient postage will not be delivered to this Office and will be returned to the sender or disposed of by the Hongkong Post, where appropriate. Applicants will bear any consequences arising from paying insufficient postage;

(b) by hand to the application drop-in box of Administration Wing located at the Staff Entrance, 2/F., East Wing, Central Government Offices, 2 Tim Mei Avenue, Tamar, Hong Kong, with the envelope clearly marked “Application for the position of Office Assistant”. The drop-in box is available from 8:00 a.m. to 7:00 p.m. from Monday to Friday (except public holidays) and up till 5:00 p.m. on the closing date of application; or

(c) through on-line facilities on the Civil Service Bureau homepage at Candidates who applied online should submit copies of supporting documents not later than one week after the close of application to the contact address and the online application number should be quoted on the envelope and the copies of all supporting documents.

Applications which are incomplete, late or submitted by fax or email, or not made in the prescribed form, or without the required supporting documents will not be considered.

Applicants should provide their email addresses on the application forms. Candidates who are selected for interview will normally receive an invitation in about eight weeks from the closing date of application. Those who are not invited for interview may assume that their applications are unsuccessful.

General Notes :

(a) Candidates must be permanent residents of the Hong Kong Special Administrative Region at the time of appointment unless specified otherwise.

(g) Holders of academic qualifications other than those obtained from Hong Kong Institutions/Hong Kong Examinations and Assessment Authority may also apply but their qualifications will be subject to assessments on equivalence with the required entry qualifications. They should submit copies of their official transcripts and certificates by mail to the enquiry address.
