Job Description - Purchasing Officer

The Canadian International School of Hong Kong is looking for a Purchasing Officer to join our Purchasing Department.

 

Reporting to the Purchasing Manager, the Purchasing Officer holds the responsibility for the daily routine procurement activities. These include managing inquiries, maintaining comprehensive product and vendor information, sourcing goods and services, processing purchase orders, ensuring timely delivery, inspecting and organizing inventory, updating databases, collaborating with various departments, and works as part of a team to promptly address CDNIS needs. All tasks are performed using a combination of computerized and manual systems while adhering to relevant regulations, policies, and procedures.

 

Duties & Responsibilities

  • Collaborate with the Procurement Manager to handle, review, and update daily purchase requests related to school operations.
  • Handle the process for school operational purchases, including equipment, curriculum materials, and teaching aids, ensuring they align with CDNIS's vision.
  • Review requisitions and advise users on the appropriateness and adequacy of the specifications for a variety of goods and services.
  • Conduct sourcing, price & specification comparisons, negotiating with suppliers, and building a reliable supplier base with long-term partnerships.
  • Foster strong relationships with teachers, administrators, and other internal stakeholders to provide efficient purchasing resources based on their requirements.
  • Manage the arrival, delivery, inspection and storage of inventory and supplies with ensuring proper handling. 
  • Collaborate with the Finance Department to facilitate smooth payment processing and maintain accurate records of goods receipts in accordance with internal protocols.
  • Assist in ad hoc projects or tasks as instructed
  • Perform general administrative tasks such as recording purchase data (using the Purchasing Portal & SAP), conducting stocktaking, maintaining petty cash, handling import documents, updating reports, among other responsibilities.

 

Required Qualifications & Experience

  • Diploma holder or above in Purchasing or Business Administration. 
  • Experience in the purchasing field is preferable. Good sourcing network with product knowledge.
  • Minimum of 2 years relevant working experience 
  • Mature, be adaptable, able to work under pressure and recognizing the importance of completing tasks in a timely manner
  • Self-motivated, strong sense of responsibilities and customer service / experience
  • Good command in written and spoken English and Chinese (Cantonese and Putonghua)
  • Strong computer skills and familiar with ERP Systems and hands-on experience with SAP.
  • Knowledge of appropriate purchasing related regulations, e.g. Independent Commission Against Corruption (ICAC) regulations. OR an equivalent combination of training and experience
  • Proficient in Microsoft Office (Word, Excel, Chinese Word Processing) and related Purchasing System
