Job Description - Receptionist cum secretary

We are a new set of barristers' chambers which has just opened in mid-June 2024, and have an immediate opening of a receptionist cum secretary position.

Job description:

The candidate is expected to ensure that our chambers run effectively and smoothly, and to provide secretarial and administrative support to the barristers in our chambers; day-to-day tasks include:

  • answering telephone calls and taking messages in a professional manner;
  • handling mail, faxes, emails and other deliveries efficiently;
  • welcoming visitors to our chambers with courtesy and respect;
  • maintaining our reception area, meeting room, common areas and barristers’ offices in a clean and tidy manner at all times;
  • overseeing our chambers’ general appearance and equipment / facilities maintenance, as well as keeping supplies well stocked;
  • managing meeting room schedules effectively;
  • typing documents quickly and accurately;
  • organising and managing our barristers’ diaries effectively;
  • liaising with instructing solicitors and other professional bodies / clients efficiently;
  • maintaining our chambers’ financial records and petty cash properly, and assisting in managing our chambers’ accounts and expenses.

Job requirements:

We look for a candidate with secretarial experience in barristers’ chambers or solicitors’ firms who:

  • is able to commence duty no later than early July 2024;
  • shows strong sense of responsibility and displays impeccable integrity in confidential matters;
  • has excellent telephone manner;
  • has solid English and Chinese written and verbal communication skills;
  • has good administrative and organisational skills;
  • is proficient in PC applications including MS Word, MS Outlook, Excel, PowerPoint and Chinese word processing, and has good typing speed and skills;
  • has meticulous attention to detail;
  • has basic accounting knowledge.

This job has the following work schedule:

  • 5.5 days / week
  • 5 days / week
  • Office hours
