Principal Duties & Responsibilities including but not limited to:
OFFICE ADMIN DUTIES: (HK & AU Entity)
• Greet all visitors, coordinate schedules including booking conference rooms and appointments
• Order office supplies, communicate with vendors, arrange mailing, assist with translations and visits to local authorities
• Provide support to HK Management including their daily schedules, appointments, and business events
• Arrange travel and accommodation for business visitors, including but not limited to booking flights, hotels, and transportation
• Plan and organize staff events and team-building activities within office premises or offsite
• Regularly evaluate administrative workflows, identify and report potential risks and inefficiencies to the HR and Admin Manager to streamline operations
and enhance overall efficiency
• Handle ad-hoc administrative tasks as needed to support office operations
HR RECRUITMENT AND HR ADMINISTRATOR DUTIES (HK & AU entity):
• Manage the full recruitment process including salary benchmarking, posting job vacancies to the company career page, external job boards and social media sites, shortlisting CVs, conducting phone screening, coordinating interviews, extending offers, conducting background screening and participating in the new hire onboarding
• Maintain and update employee records in the HRIS system, ensuring accuracy and confidentiality
• Respond to staff inquiries related to absences, overtime, bank holidays, and other HR-related matters
• Participate in HR projects and initiatives aimed at improving HR processes and employee engagement
• Perform ad-hoc HR tasks as assigned by management
Critical Knowledge, Skills & Experience Job Holder should have:
• College diploma or above. Degree in Human Resources, Business Administration or a related filed preferred
• Minimum 2 years of experience in HR and Office Administration roles.
• Familiarity with HRIS systems and recruitment processes
• Excellent organizational and multitasking skills
• Strong interpersonal and communication skills
• Proactive attitude and ability to work independently
• Good competency in Mandarin, and English is a must.
• Proficient in MS Office (Word, Excel, Outlook)
• Ability to maintain confidentiality and handle sensitive information with discretion
