Job Description - Assistant General Manager & Team Head, Leasing & Cost Management

Job Summary:

•Lead the team to Implement the leasing strategies, lease management, lease terms negotiation, leasing document management, conduct marketing research and feasibility studies and oversee related financial management & reporting matters in line with the Bank’s policies and procedures

Responsibilities:

A. Strategic Portfolio & Lease Management

  • Develop and implement a strategic real estate plan aligned with the bank's long-term goals.
  • Lead the negotiation of all new leases, lease renewals, terminations, and sales of properties for bank branches, offices, ATMs, and signage locations.
  • Conduct financial analysis and feasibility studies for new sites, considering factors such as site suitability, customer demographics and foot traffic, security and safety requirements, total occupancy cost (rent, fit-out, taxes, utilities), long-term flexibility and exit strategies…etc.
  • Maintain a central database for all lease documents, critical dates (expiries, rent reviews), and obligations.

B. Tenant & Landlord Management

  • For properties leased-out by the bank, act as the Landlord for tenant relationships.
  • Proactively market vacant bank-owned properties to secure suitable tenants.
  • Manage the tenancy administration, including tenancy agreements, deposits, and property handovers.
  • Assist to manage the repossessed properties.

C. Compliance, Risk & Stakeholder Management

  • Ensure 100% compliance with all statutory requirements and internal policies and procedures.
  • Serve as the key liaison between the bank and a wide range of stakeholders, including:
    1. Internal: Business Heads, Audit, Finance, Legal, Security, Marketing, and Operations teams.
    2. External: Landlords, Tenants, Solicitors, Property Agents, Government Authorities, and Consultants.
  • Identify and mitigate property-related risks (financial, operational, reputational).
  • Act as the controller by working closely with other teams of Corporate Services to ensure that all team’s policies and procedures comply with regulations and company requirements.
  • Serve as the key point of contact for all audit-related activities and inquires, coordinating with both internal and external auditors to facilitate thorough review. Ensure timely responses to queries and provide the necessary documentation and supportings to demonstrate compliance with established policies and procedures.

D. Financial Management & Reporting

  • Prepare and manage the procurement plan, annual budget for occupancy and other operating costs on bankwide and departmental perspectives.
  • Provide regular management reports on portfolio performance, project status, cost savings achieved, and potential risks.

Requirements:

  • Degree holder in Business Administration or related disciplines
  • Minimum 8 years of solid experience in lease management field
  • Good exposure in financial planning and administration function
  • Excellent project, stakeholder and people management skills
  • Sound knowledge in lease management related in commercial and residential leasing
  • Good PC knowledge, including MS Word, Excel and Powerpoint
  • Proficiency in written and spoken English, Cantonese and Putonghua
