Job Description - Associate

Job Summary:
The Associate plays a critical role in enabling high performance across the HR division by providing comprehensive management support to the leadership team, ensuring smooth departmental operations, and contributing to the delivery of transformation initiatives. This role offers an excellent development opportunity for a high performing Associate seeking broader exposure and progression within HR operations, process optimisation and transformation.

Job Duties:

Key Responsibilities
  • Facilitate regular quality assurance and monitoring for key controls and policy compliance
  • Participate in reviews and enhancements of processes
  • Coordinate internal and external audits and reviews
  • Coordinate Division's people agenda, including departmental forums, townhalls, offsites and information sessions
  • Support special projects, workflow tracking, and administrative processes
  • Support onboarding and integration of new joiners within the team
  • Assist with the coordination of people-related activities and stakeholder communications as needed
  • Provide executive support to Head of Process, Risk and Control and Head of Business Partner and Talent Acquisition including:
    • Diary and calendar management; meeting scheduling and prioritisation
    • Coordination of key meetings, including agenda preparation, minutes and action tracking
    • Expense management, including submission, review and compliance monitoring
    • Travel arrangements and itinerary coordination
  • Carry out additional administrative duties as required to support smooth departmental operations
Person Specification

Experience & Technical Skills
  • Extensive experience supporting senior leaders or executives in a fast-paced environment
  • Strong proficiency in MS Office including:
    • Outlook (advanced)
    • PowerPoint (advanced)
    • Word (advanced)
    • Excel (intermediate)
  • Comfortable working with digital tools and systems (e.g., HRIS, workflow systems, intranet platforms)
  • Strong document preparation, formatting and presentation skills
  • Numerically literate with ability to handle basic financial information
  • Excellent organisational and time-management capabilities
  • Strong written and verbal communication skills; professionally presented
  • Ability to prioritise and manage multiple tasks under tight deadlines
  • Highly adaptable with strong problem-solving skills
  • Meticulous attention to detail
  • Ability to work independently and across multiple teams
  • Strong interpersonal skills and confidence in dealing with senior stakeholders
