Role Overview We are recruiting a high-calibre candidate who will support the brokers and trading desks on Equity products in a Back Office Operations environment. He/she will support Equities Operations in APAC markets. He/she is also responsible for Operations Quality & Control functions, including but not limited to: trade matching and reconciliation, inter-system and inter-company reconciliation, regulatory reporting, etc.
The candidate will work closely with the Front Office, be prepared to discuss initiatives to aid the Front Office in trade booking, and support the business during the Trade Lifecycle. He/she will provide Operations feedback and perspective with a Risk & Control mindset while facilitating the Business and Front Office on trade accuracy and confirmations.
The role and responsibilities include client services, operations excellence and quality assurance: ensuring all trades are accurately booked and matched in time according to strict settlement timelines and/or client expectations; ensuring all trade confirmations are accurate and sent to clients within the agreed SLA; ensuring all enquiries are properly handled and promptly followed up; ensuring task completeness and procedures/SOPs are up to date.
The role requires working in shifts and on public holidays on a rotational basis.
Role Responsibilities The role itself has two main pillars: Settlements and Trade Services
- Responsible for daily processes in Settlements and Trade Services
- Verify and control static data in systems and platforms to ensure accurate Front-to-Back booking workflows
- Monitor the RIMS settlement system platform and follow up on enquiries to ensure smooth and successful settlements, and ensure market cut-off times are met; coordinate and follow up with counterparties to resolve mismatches/unmatched trades and failed transactions (morning shift required)
- Monitor interfaces between Front Office and Back Office systems for trade discrepancies or breaks
- Demonstrate the ability to quickly escalate problems to management and stakeholders (error trades, client enquiries, system performance issues or incidents)
- Perform daily Operations Control reports
- Perform End-of-Day control and reporting
- Prepare daily brokerage reports and End-of-Day reports for Desk Heads to sign off
- Fulfil any additional/ad-hoc duties as required to meet business needs
- Maintain and update client contact details in the client contact database
- Record brokerage for clients with agreements in place and send to relevant departments for collection
- Maintain good audit trails, books and records, and ensure SOPs/procedures are up to date
- Support the proper escalation matrix, team structure and management direction
- Assist the Team Leads and Line Manager to deliver and achieve Operational Excellence, Tactical Improvement Plans for Innovation and Triple A Values
Experience / Competences Essential
- Minimum 3-5+ years of relevant working experience in Operations
- Fluent in English and Cantonese
- System integration/migration experience
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Teams);
- Good interpersonal and communication skills; expressive and willing to share thoughts and ideas; positive mindset and attitude; creative and consistent
- Works well under pressure and able to meet tight deadlines
- Willing to work on public holidays, shifts and tasks on a rotational basis
Desired
- Settlements experience across multiple products
- Mandarin or any other Asian language
- VBA Macro or any other programming/automation skills
