Job Description - Chairman Assistant

Key Responsibilities:

Administrative Work:

  1. Renewal of Business Registration Certificates for Hong Kong companies.
  2. Assist in liaising with Hong Kong professional firms and accounting firms.
  3. Follow up on monthly statements (telephone fees, clubhouse fees, rent, property management fees, government rent/rates), including reminders and delivery, payment processing, and invoice coordination.
  4. Vehicle-related matters (license renewal, insurance, fuel expense reimbursement), liaise with drivers and calculate wages.
  5. Office administrative maintenance, leasing matters, and document delivery.
  6. Handle personal and family-related matters for the Chairman in Hong Kong.
  7. Assist the Chairman in liaising with Hong Kong financial institutions or investment firms; collect and organize investment economic data, industry policy trends, and investment product information; conduct preliminary market research and analysis to support the Chairman's decision-making.
  8. Support family office project execution and post-investment management: participate in the investigation, data collection, and report writing for potential investment matters; assist in daily tracking of invested projects, data collection, meeting material organization, and provide recommendations and suggestions.
  9. Other tasks assigned by the Chairman.

Requirements:

Identity & Language:

  1. Hong Kong permanent resident with a fixed address in Hong Kong (local Hong Kong candidates preferred).
  2. Experience as a Chairman Assistant, preferably with family office experience, financial investment and legal knowledge; fluent in Mandarin; stable work history (at least one previous role lasting more than 5 years).
  3. CET-6 or equivalent (IELTS 6.5 / TOEFL 90 or above), with strong English reading and writing skills, able to use English as a working language.

Education Background:

  1. Bachelor's or Master's degree in a relevant field (reputable university preferred).

Professional Skills:

  1. Basic knowledge of administration, financial investment, and law; understanding of basic investment, finance, and market analysis.
  2. Proficient in Microsoft Office, especially Excel (pivot tables, basic functions) and PowerPoint (report writing and presentations).
