We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to the Sales team. The role requires strong coordination skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities: 1. Administrative & Team Support
Provide day-to-day administrative support to the Sales team, including calendar management, meeting scheduling, and travel arrangements
Coordinate internal and external meetings, including preparing agendas and logistics
Manage expense reports, invoices, and general administrative tasks
2. Meeting & Presentation Support
Prepare and compile meeting materials and supporting documents (material decks)
Assist in printing, organizing, and distributing materials for client meetings
Coordinate with internal stakeholders (e.g., Legal, Compliance) to ensure materials are reviewed and finalized
3. Sales Coordination
Support the Sales team in tracking client interactions, follow-ups, and pipeline updates
Maintain accurate records and documentation related to sales activities
Assist in preparing reports, presentations, and sales documentation
4. Communication & Stakeholder Management
Act as a key point of contact between the Sales team and internal/external stakeholders
Liaise with clients, vendors, and internal departments on behalf of the team
Ensure smooth communication and timely follow-up on requests
5. Event & Travel Coordination
Organize client meetings, events, and roadshows where required
Coordinate travel arrangements including flights, accommodation, and itineraries
Support logistics planning for internal and external events
Requirements:
Proven experience as an Executive Assistant, Team Assistant, or similar role, preferably supporting a Sales or client-facing team for minimum of 10 years.
Strong organizational and multitasking skills with high attention to detail
Excellent communication skills with fluency in English, Mandarin, and Cantonese
Hands-on experience with Salesforce or similar CRM systems
Experience in preparing and compiling material decks (e.g., presentations and meeting materials)
Strong organizational skills with the ability to manage multiple priorities and deadlines
