Job Description - Executive Assistant

Management Support

  • Serve as the primary administrative and translation
    support for the executive(s) in both English and Chinese.

  • Manage all aspects of the executive's calendar,
    appointments, meetings, and complex travel itineraries, including frequent
    international and domestic trips.

  • Accompany the executive(s) on business trips to
    provide in-person support.

  • Facilitate communication with Chinese and English
    partners, stakeholders, and clients, ensuring clarity and cultural sensitivity.

 

BAU

  • Prepare management reports (presentations in
    PowerPoint and Excel) through sourcing data from existing internal systems and
    external sources as appropriate.

  • Screen and prioritize incoming communications; draft
    responses in both languages as appropriate.

  • Scheduling and preparing meetings and appointments -
    extensive diary management and record keeping.

  • Arranging business travel, visa, accommodation and
    social events.

  • Translate documents, presentations, and correspondence
    between English and Chinese.

  • Track, prioritize, and follow up on tasks, issues, and
    projects to ensure timely execution.

  • Perform other related administrative and project
    duties as required.



Requirements

  • At least 6-7 years
    secretarial support experience gained from financial groups in supporting
    senior management.

  • Proficiency in
    Microsoft Office Suite and familiarity with collaboration tools (e.g., Google,
    Zoom, WeChat).

  • Ability to handle
    confidential information with suitable discretion.

  • Willingness and
    ability to travel frequently, both domestically and internationally.

  • Attention to details,
    skilled at prioritizing tasks and multi-tasking.

  • Strong command of
    written and spoken English, Cantonese and Mandarin with translation skills.
