Job Purpose (Overview)
The Extracurricular Program Coordinator develops a high-quality extra curricular experience for students at the school and in the wider Hong Kong community using school resources. Extra curricular projects include after school activities, holiday camps, weekend activities, and more.
Key Duties and Responsibilities
End-to-end administration of Extracurricular & Holiday Camp Activities
Responsible for the coordination, and troubleshooting of the extracurricular program inclusive of holiday camps for The Harbour School:
Manages contracting, arrangement and rostering of those running all on and off-site activities including THS staff and outside vendors to develop mission-aligned experiences for the THS COMPASS brand: SEA (School Extension Activity) and FISH (Fully Immersive School Holiday) summer programs.
Ensures all operations are in place and effective including but not limited to: arrangement, rostering, scheduling, location arrangement, with behavior and safety protocols met to a high standard.
Ensures health and safety protocols are met for all vendors including First-Aid CPR training for outdoor experiences, risk assessments and insurance requirements for all programs. Works with the Operations Director to ensure appropriate insurance is in place as needed.
Collects feedback on all programs from all stakeholders. Follows up on client inquiries and ensures client satisfaction and reviews programs for suitability, safety, mission alignment and effectiveness.
Works with the ECDD and Development team to create and manage marketing of said activities including but not limited to: brochures, posters, mini-reels, digital platforms, flyers (short-term weekly and long-term seasonal basis)
Works with the Finance team and Operations to generate season or termly financial projections and reporting.
Works with the assigned director (ECDD) to create and expand new approaches and programs in the extra curricular space.
Manages rental of school facilities for community use
Works with the Operations team to leverage school facilities (including a 50-ft sailboat, onsite Marine Science Center, Makerspace, and more) for extracurricular activities.
Supervises events to open facilities to the local community on the Ap Lei Chau estate.
Any other duty or responsibility related to ensuring the growth and management of both areas as needed.
Required Qualifications
Experience working with students in extracurricular setting (such as outdoor or day camps).
Excellent professional communication skills in English and Mandarin (Cantonese a plus!)
Organised and detail-oriented administrator and facilitator with relevant experience
Strong digital skills: Creation of fliers and short reels + Excel/Google spreadsheet management
Able to work independently and within a team.
