A leading international law firm is seeking an Information Governance Manager for Asia, based in its Hong Kong office. This is a replacement role within a compact regional team — the manager and an analyst — and it owns the region's implementation of, and compliance with, the firm's records management programme, acting as the regional voice in how that programme develops globally. You will report to the firm's UK-based head of records, with weekly calls and some flexibility for US time zones, and work closely with lawyers, paralegals, secretaries and administrative management across the region as well as records colleagues worldwide on firmwide projects. The position is full-time, calls for daily presence in the office, involves light regional travel and the occasional period of overtime.
WHAT
You will supervise records management operations for the region and the staff who deliver them — assigning work, arranging coverage, recruiting, training and conducting performance reviews. The environment is digital-first: alongside the remaining hardcopy records, the firm has recently completed a firmwide migration to a cloud-based document management system, so you will be driving adoption of electronic recordkeeping across the region's working practices. You will oversee active and inactive records systems and centres, manage transfers to off-site storage vendors, and coordinate matter records both ways for departing and arriving lawyers — including files subject to ethical and confidential screens. Stewardship sits at the heart of the role: running retention and disposition in line with firm policy, preserving records caught by document holds, and contributing to the annual inventory and audit. You will also deliver records management education and orientations for new lawyers and staff, train legal and administrative teams on the document management system, monitor service levels and invoices with outside vendors, track key performance indicators, and report on the programme's health and compliance to leadership.
YOU
You will bring at least seven years' experience in records and information management, together with a bachelor's degree or equivalent including specialised coursework in records management, business law, administrative management or computer technology. Proficiency in records, document or content management applications is essential, and experience of a document management system migration — particularly a move to cloud storage — is a real plus. A Certified Records Manager (CRM) or Information Governance Professional (IGP) credential, or candidacy for one, is preferred, as is prior team leadership and time spent at a law firm or another professional services firm. Candidates often build this profile in law firm IT or professional support teams, so a technology-comfortable background is welcome. You will need strong interpersonal and written communication skills, confident planning and organisation, the judgement to analyse problems and recommend sound decisions, the self-motivation to work independently, and strong computer and database skills including classification of electronic documents.
