A typical day may involve:
- Assist concierge in providing general hospitality services while maintaining a client-ready office environment.
- Schedule and coordinate on-site meetings. This includes reserving conference rooms, ordering equipment, and coordinating catering needs.
- Receive and record incoming and outgoing mails.
- Route, sort and distribute mail.
- Order office supplies and other common-use items for the mailroom.
- Maintain inventories and troubleshoot regarding missed deliveries.
- Check daily and replenish all mail, postage and stationery supplies.
- Courier handling and manage outside courier.
- Collect and deliver mails from/to post office.
- Collect mail from main building.
- Internal mail collection/distribution.
- Prepare mailroom operation reports and manage the data available.
- Answer common inquiries and request for printing and mailroom operation.
- Handle printing job and booklet binding as requested.
- Request building and equipment maintenance services.
- Respond to complaints from clients, co-workers, and supervisors.
- Hand Delivery of document to Central, Admiralty, Wanchai areas and West Kowloon.
- Other FM support as requested, e.g. poster printing and posting
Requirements:
- High School Diploma or GED with up to 2 years of job-related experience.
- Ability to follow basic work routines and standards in the application of work.
- Communication skills to exchange straight forward information.
- Working knowledge of Microsoft Office including Word, Excel, Outlook, etc.
- Strong organizational skills with an inquisitive mindset.
- Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
