Job Description - Office Team Assistant

Office Team Assistant

 

Responsibilities include:

• Provide all-round reception duties such as greeting guests and customers in a professional manner and providing a tea service

• Manage and maintain office facilities such as printers, water supply, broadband, electrical equipment and safety devices and, arrange necessary repairs and check-ups. Ensure the office is maintained in a good condition, including liaising with office cleaners and other service providers.

• Maintain office pantry necessities and supplies. Also responsible for maintaining the Pantry Staff Notice Board, posting office events and activity sign-up sheets.

• Support daily office administration such as conference room booking, arranging in house meetings, mailing and courier and postal service handling, office supplies ordering and office administrative filing

• Assist Office Manager in organizing company activities (e.g. Christmas Party and Team Events)

• Support HR with the recruitment process by liaising with candidates put forward for interview to set up an interview with hiring manager

• Prepare new hire induction packs in advance of their day 1 start and ensure they have computer, desk, phone and other joining arrangements set up. Follow the onboard checklist.

• Assist the Office Manager with staff development and training events by ensuring rooms are set up correctly, attendance lists are created and staff feedback forms issued and collected back in for HR consideration. Keep the Central Training Email Inbox clean and up to date

• Conduct ad hoc office duties Key stakeholders: Office Manager, Senior Management Team, HR, Team Managers and regular interfacing with staff and visiting external clients

 

Requirements:

• School certificate

• Mid-career change applicants are welcome. Looking for a career as a professional team supporter and office administrator

• Positive attitude, proactive, derives a sense of satisfaction from doing one’s best and self-discipline are all essential

• Must be a team player and willing to support with ad hoc tasks as they arise as a key member of a small office support team

• Willing to provide cover whilst the Office Manager is on leave or out of the office

• Able to speak Chinese and English
