Key Responsibilities:
- Perform receptionist duties including welcoming and greeting investors, visitors and vendors in a professional manner
- Handle incoming calls, mails, fax and courier at the reception desk
- Maintain conference room booking and coordinate meeting arrangement including video and conference call set up
- Responsible for inventory checking of office supplies including office facilities, stationeries and snacks
- Assist in on and off boarding staff on administration arrangement and coordinate with related departments
- Maintain company gift log, filing system and document storage, newspapers and magazines subscription and travel records
- Coordinate with company driver & office assistant on logistic arrangement including car booking, mail delivery and banking arrangement
- Arrange office maintenance including air con and carpet cleaning, pest control, etc
- Work closely with finance department to compile expense reports for invoice payment
- Prepare expense report compilation for the HR and Administration team
- Organize team building and company events such as company parties , festival meals
- Handle any other ad-hoc tasks assigned by the manager
Position Requirements
Competencies: (knowledge and soft skill requirements):
- Tertiary education with working experience as receptionist or office administration role is an advantage
- Excellent customer service, presentation and interpersonal skills
- Excellent and professional telephone manner
- Cheerful, polite and friendly personality
- Ability to perform multi-tasks and work independently
- Fast Learner and strong sense of responsibility
- Good coordination skills, well organized and detail-oriented
- Excellent communication skills in English, Cantonese and Mandarin
- Proficient in Microsoft office (Excel, MS Word, Outlook and PowerPoint)
- Fresh Graduate would also be considered
