Job Summary
We are seeking a polished, professional, and detail-oriented individual to join our team as an Administrative Assistant/Receptionist. This role is the "face" of the company, requiring a high level of professionalism, discretion, and exceptional communication skills. You will be responsible for creating a welcoming environment for clients and visitors while providing crucial administrative support to ensure the smooth day-to-day operation of the firm.
Key Responsibilities:
Reception & Front-of-House (40%)
Greet and welcome clients, investors, and visitors in a professional and friendly manner, in accordance with SFC compliance standards.
Manage all incoming and outgoing calls, taking accurate messages and directing inquiries promptly.
Oversee meeting room bookings and ensure meeting rooms are prepared for client meetings (catering, AV setup, materials).
Receive and sort daily mail/deliveries and coordinate courier services.
Administrative Support (50%)
Provide full administrative support to the investment and operations teams, including travel arrangements (flights, hotels, visas) and itinerary planning.
Process expense claims and assist with basic invoice processing for the finance team.
Assist in preparing and binding pitch books, presentation materials, and quarterly reports for investors.
Maintain office supplies inventory by monitoring stock and placing orders.
Assist in planning and executing company events, annual general meetings, and investor roadshows.
Liaise with building management and external vendors (IT support, cleaning services, catering).
Compliance & Record Keeping (10%)
Assist in maintaining organized filing systems (both physical and electronic) in accordance with SFC record-keeping requirements.
Support the compliance officer in organizing documentation for licensing matters or audit preparation when required.
Handle sensitive and confidential information with absolute discretion.
Qualifications & Requirements:
Bachelor’s degree in business administration, Linguistics, or a related discipline.
Minimum 3 years of relevant work experience, preferably within a financial institution (Asset Management, Investment Bank, or Brokerage) or a professional services firm (Law/Accounting).
Language Skills (Essential): fluent in English, Cantonese and Mandarin (Written & Spoken).

Professional Presentation: Impeccable grooming and telephone etiquette.
Tech Savvy: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Organizational Skills: Strong multitasking ability with a keen eye for detail.
Proactive: Ability to anticipate needs and work without constant supervision.
Integrity: Must be trustworthy and capable of handling highly confidential information.
