FIS is looking for a Senior Operations Officer to be responsible for procurement, operational and
administrative services.
Job responsibilities:
- Handling the entire procurement cycle ranging from specifications review, sourcing, purchase
- order, handle billing, follow up on orders, delivery of goods and services
- Responsible for the school’s stationery shop sales, inventory control and maintain inventory ERP
- system and perform monthly sales and inventory reconciliation
- Analyse vendors and price options, maintain a list of reliable suppliers providing long-term source
- of supply
- Ensure databases are kept up to date with all necessary records and documents
- Prepare budget for stationery shop and monitor budget
- Arrange venue bookings and transportation logistics for student outings and arrange travel
- logistics for student overseas trips and price comparison
- Provide customer service to students and teachers including answering phone calls and email
- enquiries
- Assist to manage company cars booking and driver’s schedule
- Assist to provide administrative and secretarial support on projects and committees
- Manage administration and filing in the department and mail order sorting
- Back up support on campus traffic control monitor service
- Follow the best practices of Operations procedures
- Perform ad hoc projects and other duties as assigned
Requirements:
- High diploma or above in Accounting or Business Administration or minimum 3 years of relevant
- experience
- Work experience in schools/institutions/NGO will be an advantage
- Proficiency in Microsoft applications such as advanced Excel functions, Power Point, Google
- Workspace
- Experience in inventory ERP or accounting system will be an advantage
- Good level of English and Chinese
- Independent, team player, attention to details, organised and multitasking
- Good communication, time management and negotiation skills
- Be legally permitted to work in Hong Kong
Work Location:
- Happy Valley (Blue Pool Road and Jardine’s Lookout campus) with occasional travel to Chai Wan and Tseung Kwan O campus
Conditions:
- 39 hours per week – Full time
- Entitled to 5 weeks of holiday per year
