Job Description - Trade Management Associate (Operations)

Role Overview

We are recruiting a high-calibre candidate who will support the brokers and trading desks in a Back Office Operations environment, covering cross-products in Foreign Exchange, Money Markets, Rates, Credit and Equity Derivatives. He/she will support Operations in APAC markets and Trade Management for Matched Principal, Exchange Traded and Name Give Ups activities in Hong Kong. He/she is also responsible for Operational Control functions, including but not limited to: post-trade management, trade checking and confirmation reconciliation, intersystem and intercompany reconciliation, brokerage and regulatory reporting, etc.

The candidate will work closely with the Front Office, be prepared to discuss initiatives to aid the Front Office in trade booking and brokerage calculation, and support the business throughout the trade lifecycle - before, during and after trade execution. The candidate will provide Operations feedback and perspective with a risk and control mindset while facilitating the Business and Front Office from initial booking through the front and middle office systems to confirmations.

The role and responsibilities include Client Services, Operations Excellence and Quality Assurance: ensuring all trades are accurately booked and matched in time according to strict settlement timelines and/or client expectations; ensuring all trade confirmations are accurate and sent to clients within the agreed SLA; ensuring all enquiries are properly handled and followed up promptly; ensuring task completeness and procedures/SOPs are up to date.

The role requires working in shifts and on public holidays on a rotational basis.

Role Responsibilities:

  • The role itself has two main pillars: Trade Support and Operations Control
  • Responsible for daily workflow processes in Trade Management, including pre-trade operational preparation for Front Office and post-trade management
  • Verify and control static data setup in downstream systems by the Reference Data team
  • Coordinate and follow up with clients/counterparties to resolve mismatches or unmatched trades and confirmations, failed transactions and claims
  • Monitor interfaces between Front Office and Back Office systems for trade breaks
  • Immediately escalate and alert brokers of any trade economics discrepancies for prompt action or correction
  • Demonstrate the ability to quickly escalate problems to management and stakeholders (error trades, client enquiries, trade positions, system performance issues or incidents)
  • Perform daily Operations Control and reporting, such as reconciliation of brokerages for the previous day, confirmation suppression, cancel and amend, incomplete status, etc.
  • Prepare trade confirmations and end-of-day trading reports for clients
  • Prepare daily statements of transactions or ad-hoc reports as required by clients
  • Prepare daily brokerage reports and end-of-day reports for Desk Heads for sign-off
  • Prepare and send regulatory reports to the exchange and regulators
  • Fulfil any additional/ad-hoc duties as required to meet business needs
  • Maintain and update client contact details in the client contact database
  • Record brokerage for clients with agreements in place and send to relevant departments for collection
  • Maintain good audit trails, books and records, and ensure SOPs/procedures are up to date
  • Support the proper escalation matrix, team structure and management direction
  • Assist the Team Leads and Line Manager in delivering and achieving Operational Excellence, Tactical Improvement Plans for Innovation and Triple A values

Experience / Competences

Essential
  • 2-3 years of relevant working experience in Operations, Back Office or Settlements
  • Knowledge of settlements, managing SWIFT instructions and Standard Settlement Instructions, status and position monitoring
  • Fluent in Cantonese and English
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and data entry
  • Detail-oriented and able to multitask
  • Able to work well under pressure and meet tight deadlines and cut-off times
  • Good interpersonal and communication skills; expressive, clear articulation; positive mindset and attitude; creative and consistent
  • Good team player
  • Willing to work on public holidays and morning shifts
  • University graduate - Bachelor's degree or above, or equivalent relevant experience

Desired
  • VBA Macro, Python, Power BI, Power Automate
  • Some experience in projects, system migration or UAT
  • Continuous improvement in both BAU processes and personal objectives
  • Mandarin
