Job Description - Assistant Manager Institutional Advancement

Job Purpose

The Institutional Advancement (IA) Assistant Manager is responsible for overall administration of the IA Office. This person also serves as the main contact on stewardship and alumni operations matters, and is responsible for supporting Institutional Advancement and Marketing Office (IAMO) projects and College events. This person will also assist to manage Zoho, reconcile donations data with Finance, and collate data for regular IA reports.

 

Key Job Responsibilities

  1. Support the IA team to strengthen long-term relationships with existing donors through regular reporting; manage and grow existing donors and alumni contributions (including naming gifts).
  2. Implement IAMO projects and events as required.
  3. Drive and implement alumni relations programmes and matters.
  4. Coordinate, prepare and implement all recognition correspondence for donors (gift agreement. Thank you letters, and gift announcements).
  5. Collaborate with the marketing team to develop IA promotional materials and publications.
  6. Collate data for monthly IA reports, coordinate with student helpers, as needed.
  7. Support overall IA Office administrations.
  8. Handle any other duties as appropriate.

 

Major Job Contact:

Internal: All IAMO staff, Business unit’s staff (as appropriate), YCEF’s Zoho staff.

External: Design and production vendors.

 

Job Requirements

  1. Education
  • A Bachelor’s degree in Marketing/Journalism or related discipline

2. Experience

  • At least 5 years marketing experience in the B2C sector. Previous working experience in the higher education sector is an advantage.

Technological Fluency

  1. Good IT skills for data management and good proficiency in Microsoft Office applications;
  2. CRM database (Zoho) operations is necessary

 

Others:

  1. Good command of written and spoken English and Chinese (Cantonese and Mandarin)
  2. Excellent interpersonal and communication skills to interact with different stakeholders and external parties
  3. Adaptive and flexible
  4. A good sense of responsibility and self-motivation to meeting deadlines
  5. Ability to handle tasks independently with minimum supervisions
