Job Description - Human Resources Assistant

What's the role

We are looking for a high calibre candidate with strong business acumen to unleash your high potential, starting as HR & Admin Assistant. Our people come from different walks of life with a shared dedication to high performance, consistent results.

What does the role involve

  • Provide administrative support for recruitment-related tasks, including advertising vacant positions, screening resumes, conducting phone screenings, and preparing contracts
  • Assist in the employee onboarding and offboarding processes: managing staff cards, preparing onboarding logistics, maintaining staff and training records and conducting new joiner orientations etc.
  • Manage the day-to-day office operations including handling mail and parcels, managing documents and performing phone duties
  • Responsible for vendor management handle procurement of office equipment, uniforms and supplies, as well as oversee the repairs and maintenance of office equipment
  • Maintain a clean and organized office environment, ensuring that facilities are in good working order
  • Maintain an updated and accurate employee database, ensuring that all records are up to date
  • Coordinate and support company events and staff activities
  • Proactively identify areas of improvement in existing processes and implement necessary changes to establish good practices
  • Occasionally work on Saturdays (with compensation leave) to monitor vendor's work, such as office maintenance, repairs and renovations.
  • Assist in office renovation projects
  • Handle ad-hoc assignments and projects as required

Why should you apply

  • Diploma or above in Business Administration or other related discipline
  • At least 2 years of hands-on working experience in administration
  • Good command of both spoken and written English and Chinese. Cantonese is a Must
  • Knowledge in Microsoft Office applications including Word, Excel and PowerPoint. Experience with Workday and recruiting system is an advantage
  • Organized, detail-minded, customer-oriented, good team player, open for feedback and continuous improvement and with a positive mindset towards change
  • Teamwork mindset but also could work independently. Possess a can-do attitude, self-motivated to deliver results in a fast-paced environment
  • Strong planning and organizational skills, problem solving skills
  • Someone with high ambition and potential to excel and develop their long term career at Hilti
