Job Description - Forum Helper, Research

Key Areas of Responsibilities

  • Accurately track and monitor meeting attendance using the designated scheduling system
  • Welcome and assist delegates in a professional and courteous manner upon arrival
  • Record and maintain attendance in line with assigned schedules and guidelines
  • Proactively follow up on missing participants and promptly inform relevant corporate speakers
  • Provide real-time updates on “no-show” and “unannounced” participants to the Events Team
  • Support the smooth execution of meetings by coordinating with internal teams and on-site staff
  • Maintain accurate and up-to-date attendance records and participant information
  • Identify, escalate, and assist in resolving operational issues during the event

Requirements

  • Strong organisational skills with excellent attention to detail
  • Ability to follow instructions and work effectively in a team environment
  • Good interpersonal and communication skills in English and Chinese (Cantonese and/or Mandarin)
  • Proactive, responsible, and able to thrive in a fast-paced environment
  • Professional and customer-focused when interacting with delegates and stakeholders
  • Prior experience in event support, coordination, or customer service is an advantage
  • Open to current university students
  • Applicants must be Hong Kong residents
