Job Description - Legal Assistant

Legal and Office Assistant, Hong Kong – Job Description


This part-time role is based in our Hong Kong office.


You are part of a growing, international, and diverse team of highly experienced professionals and are an on-the-ground resource for clients in preparing and managing high-quality documentation relevant to our clients and potential clients, working closely with colleagues in Hong Kong and elsewhere.  Your role is essential in supporting our Case Management team on a wide range of APAC specific legal matters as well as supporting in the day-to-day management of the Hong Kong office.


Some of the key responsibilities are outlined below:


Case Management activities:



  • Assisting with and supporting the case management process for the APAC region in setting up and maintaining files in good order in compliance with group policy and managing the funding notice process for the APAC-related investments in coordination with the headquarters.

  • Running KYC process on potential APAC clients and coordinating the signature of NDAs with the support of the group legal team based at the headquarters.

  • Contributing to case sourcing by coordinating origination activities for APAC key contacts and building a knowledge repository about those firms and individuals as well as supporting the APAC case management team in building and delivering a communication plan with those contacts.

  • Reviewing and maintaining information in Hubspot on the pipeline of APAC deals.

  • Interacting regularly with clients and law firms regarding invoicing on their case as well as be their point of contact to collect all relevant case inception and invoicing documentation.

  • Managing and monitoring the invoicing process for the APAC region and case specific funding notices for the Case Management Team and monitoring of payments.

  • Completing, submitting, and storing all pertinent legal documentation under the guidance of the designated Legal Counsel.

  • Creating and setting up visual presentations to support client meetings, as and when required.

  • Disposing of irrelevant and outdated paperwork in a safe manner.

  • Assisting with legal marketing and taking the lead on the organisation and administration of external events hosted in the region.

  • Diary management for the case management team - support team members to maintain an efficient calendar – streamlining meetings bookings and timings, understand team members’ availability and meeting preferences.

  • Producing letters, memos, presentations, and spreadsheets.

  • Assisting with any ad-hoc projects for the local team and wider Deminor team.


Office Management activities:



  • Assisting the General Counsel with the day-to-day running of the Hong Kong office including proactively liaising with the building management on business enquiries and acting as the principal point of contact for property management.

  • Acting as the first point of contact and proactively managing all office enquiries.

  • Answering telephone calls and assisting clients with enquiries. Taking accurate messages and deal with general enquiries; flagging critical items and messages.

  • Take overall responsibility for ensuring the HK team and office have appropriate and functioning IT equipment, log IT issues with the IT provider and ensure they are resolved.

  • General administration including photocopying, filing, mailing correspondence or packages, marking up documents, typing, copying, scanning, and printing.

  • Organising national and international travel arrangements for HK team members, including accommodation, visas, itinerary preparation, and handling expenses claims using the dedicated expense management system.

  • Booking external events at which the team is participating, and ensuring all arrangements are made.

  • Managing conference room bookings and ensuring all necessary arrangements are made in advance of internal and client meetings.

  • Assisting with the management of SharePoint sites.

  • Ordering and maintaining levels of office stationery.

  • Arranging staff meetings and other internal functions as required.

  • Ad hoc administration duties for the local team.


 


About you:


We believe that to be successful in this role you will need to demonstrate many of the following attributes and skills:



  • Prior experience (minimum 2 years) at a law firm or in a similar environment.

  • Fluent in English and Cantonese, and ideally in Mandarin

  • Outstanding organisation skills

  • Detail oriented, highly collaborative, flexible, pro-active and adaptable
