Job Description - Admin Manager

Position: Admin Manager

Job Summary: As the Administrative Manager, you will play a pivotal role in ensuring the smooth and efficient operation of our agency. You will oversee administrative processes, manage office resources, and provide support to various departments. The ideal candidate will have excellent organisational skills, a keen eye for detail, and the ability to thrive in a fast-paced, creative environment.

Main Task & Responsibilities:

• Office Administration: Supervise and manage day-to-day administrative activities to ensure an organised and efficient work environment. Handle office maintenance, supplies, and equipment procurement. Develop and implement effective administrative policies and procedures.

• Travel Management: Coordinate and book domestic and international travel arrangements for employees, including flights, accommodation, and transportation. Ensure travel plans align with company policies and budget constraints. Manage travel itineraries and provide necessary documentation for visa processing.

• Facilities Management: Oversee the maintenance and cleanliness of the office premises. Liaise with vendors for facility-related services, including security, cleaning, and maintenance. Ensure compliance with safety and security standards.

• Budget Management: Assist in budget preparation and control expenses related to administrative functions. Evaluate and negotiate contracts with vendors to achieve cost-effective solutions.

• Communication and Coordination: Act as a liaison between employees and management to facilitate effective communication. Coordinate meetings, conferences, and events, both internally and externally.

• Team Support: Provide administrative support to various departments and assist in project coordination. Collaborate with HR for on-boarding new employees and managing employee records.

• Organising internal & external Events / conferences / team lunch & dinners

• Organising & managing big client pitches in town & upcountry

• Organising & managing off-sites

• Under team support : Provide administrative support to central Admin and assist in central project coordination
