Job Description - Office Administrator

Key Responsibilities:

  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes. General management of office by overseeing operational efficiency, effective communications, and other strategic and tactical planning.
  • Manage company facilities, including new office space evaluation, Landlord negotiations, office setup planning / design, project BOQ comparison and further project implementation within stipulated time & budget.
  • Serve as primary liaison between company and Landlords, building managers, relevant consultant, vendors, or govt. officials.
  • Manage Lease contract globally, support international admin requirement wherever required.
  • Ensuring Vendor Management from Procurement to payment support as per company process and policies.
  • Work in coordination with finance department by following billing and payment process / cycle.
  • Preparation and tracking administration budgets globally (Budget vs Actual expenses)
  • Manage all offices / facilities as per audit standards such as ESMS/ ISO/DUE DELIGIENCE etc. which prominently includes AMC Management, periodic fire drills, E-waste management etc.
  • Manage office supplies / consumable / new joinee kit etc across all offices.
  • Organising executive itineraries including travel and corporate events , Offsites for entire organization.
  • Organize and supervise other office activities (recycling, renovations, event planning and management etc.)

Qualifications:

  • Bachelor's degree in business administration, human resources or related field.
  • 10+ years into Office Administration
  • Proven experience in office administration, HR, business management roles.
  • Strong organisational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in MS Office and HR management software.
  • Exceptional problem-solving and decision-making skills.
