Job Description - Executive Assistant

Job Summary:

We are seeking a highly professional, organised and skilled Executive Assistant to provide comprehensive support to our CEO. The ideal candidate will be deeply committed to handling a wide range of administrative and executive support-related tasks with discretion and confidentiality. This is a pivotal role within the company, requiring excellent organizational skills, impeccable attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Manage and maintain the CEO’s diary and email account, ensuring effective scheduling and organization.
  • Facilitate internal and external communication — directly and on behalf of the CEO — including handling calls, visitors, and correspondence.
  • Prepare and edit communications, presentations, and other documents designed for internal and external engagements.
  • Serve as the primary point of contact between the CEO and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Arrange corporate events to take place outside of the workplace, such as fundraising events and staff appreciation events.
  • Manage projects and follow-up with team members where required.
  • Liaise with clients and business guests with professionalism and courtesy.
  • Assist in the preparation of meetings, including gathering documents and attending to logistics of meetings.
  • Handle confidential documents ensuring they remain secure.

Requirements:

  • Proven experience as an Executive Assistant, Personal Assistant or similar role with a track record of completing projects and tasks efficiently.
  • Exceptional ability to communicate in English and Marathi, both verbally and in writing.
  • Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
  • Experience in handling a wide range of administrative and executive support-related tasks and able to work independently with little or no supervision.
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills.
  • Strong decision-making ability and attention to detail.
  • Discretion with personal and confidential information.
