Job Description - Executive Assistant to Managing Director

Role: Executive Assistant (EA) to the Marketing Head (Jt. Managing Director)

Education Qualification: A bachelor’s degree, preferred fields of study include Business Administration, Marketing, Communications, or related fields. Advanced degrees or certifications like an MBA can be advantageous

Years of Experience: 6 to 8 years

Accountable and Responsible for :

  • Administrative Support: This includes managing the Marketing Head’s calendar, scheduling meetings, arranging travel, and preparing reports and presentations. It might also involve handling correspondence and calls, making sure the Marketing Head's time is efficiently allocated on priorities.
  • Meeting Coordination: Organizing meetings on behalf of the Marketing Head, including setting agendas, minute-taking, and follow-up on action items. This may involve coordinating with various department heads and external parties.
  • Communication: Acting as the point of contact between the Marketing Head and internal/external stakeholders. This requires effective communication skills to relay messages, gather information, and ensure smooth flow of communication.
  • Project Management Support: Assisting with the oversight of marketing projects, from inception through completion. This can involve coordinating with project teams, tracking deadlines, and updating the Marketing Head on progress and challenges.
  • Budget and Expense Management: Helping manage the marketing budget by tracking expenses, processing invoices, and assisting with budget forecasting and preparation.
  • Research and Analysis: Conducting market research, analyzing marketing trends, and preparing reports that help in strategizing marketing efforts.
  • Event Planning and Coordination: Assisting in the organization of marketing events, such as product launches, press conferences, and trade shows. This includes logistical planning, venue selection, and coordination with vendors.
  • Stakeholder Engagement: Managing relationships with stakeholders, including media, clients, and partners, ensuring they have positive interactions with the Marketing department.
  • Problem-Solving: Acting swiftly to address challenges or issues that may arise, providing solutions, and ensuring the Marketing Head is aware of significant problems.
  • Strategic Assistance: Participating in strategic planning sessions and offering administrative support in the implementation of marketing strategies.

Soft Skills :

  • Excellent organizational and time management skills.
  • Strong communication skills, both written and verbal, are crucial, as the role involves interacting with internal and external stakeholders.
  • Ability to handle confidential information with discretion.
  • Problem-solving skills and the ability to work under pressure.

Technical Skills :

  • Proficiency in office productivity tools (e.g., Microsoft Office Suite, Google Workspace).
  • Experience with project management software and customer relationship management (CRM) tools will be added advantage.
  • Understanding of basic marketing principles and tools, including digital marketing platforms, can be a plus.
