About the job:
Position: Manager- MICE & Contracting
Experience: 3+ years
We are seeking a dynamic and experienced MICE (Meetings, Incentives, Conferences, and Exhibitions) Contracting Manager to join our team. The ideal candidate will have a proven track record in managing MICE queries end-to-end which includes negotiating and managing contracts for the MICE industry. This role requires a strategic thinker with excellent communication skills, good rapport and network with the hotels/venues and suppliers from different regions, strong negotiation abilities, and a thorough understanding of the MICE market.
Candidates should be self-starter, methodical in process management and innovative thought leaders with a passion to deliver high standards.
Responsibilities:
Sales Support
Maintain MICE generating accounts through various sales activities (face to face sales calls, telephone calls, sight inspections, entertainment) jointly with Accounts Manager
Creating MICE SOP and industry standard MICE proposal templates
Receive RFP’s/Queries and follow MICE proposal templates and deliver to client in timely manner.
Meet annual sales, profit and conversion targets along with business lead
Research, Development and Benchmarking of MICE products
Carry out comprehensive research for new and existing products that can be adapted for MICE market
Research and compile new proposed packages and teambuilding options, and work in conjunction with the respective team to develop great experiences for the client
Work towards procurement requirements by building a preferred list of MICE hotels, Venues, MICE related DMC’s & suppliers & airline consolidators.
Lead the creation of tour ‘story’ with guides, to ensure new product is scripted correctly.
Competitor analysis and benchmarking
Ensure comprehensive and up to date knowledge of properties unique selling points, features, amenities, services and policies
System Management
Daily update on ‘things to do’ and ‘projects in hand’ to the MICE head and branch head
Ensure new products & proposals are made accurately and within guide-lines set by you and the management.
Work with CS team members throughout the group to update with new and adapted MICE product.
Constantly work towards betterment of the systems and templates for efficient team training and making great client proposals
Maintain and update the list of hotels, DMC, vehicle service providers, airlines consolidators, tourism boards & catering details all related to MICE - as per the industry standards
Ensure cost efficiency while maintaining high-quality standards.
Identify and mitigate potential risks associated with contracts and vendor relationships.
Develop contingency plans to address unforeseen challenges.
Event logistics
Work in collaboration with the local and destination operational teams to ensure clear operational plans as per itinerary promised to the client
Create guidelines, manuals and scripts for all operational staff in support of MICE events
Monitor performance of hotels and suppliers in assigned destinations and report back to Regional MICE Manager on any actions needed
Negotiate and secure contracts with hotels, venues, and service providers for MICE events.
Ensure favorable terms and conditions while meeting budgetary constraints.
Build and maintain strong relationships with suppliers to optimize contract terms.
Always be ‘smiling’ under pressure situations and ensure that the deliverables are completed as promised by the client
Support the team by working with the admin personnel on large events with the logistics requirements viz; ticket bookings, visa issuance process, hotel bookings.
Communicate the final details of all confirmed bookings and prepare the contract and obtain client’s approval on booking contract in a prompt way
Obtain client feedback after each event verbally and through Google Business Review and ‘Guest Questionnaire’
Follow up on issues from previous walkarounds so that the same issues are not repeated
Ensure that all work during the event is performed safely.
Skills

2. Creative and able to present MICE proposals more differently to build in excitement with the clients.
Qualifications:
· Bachelor's degree in Business, Travel & Tourism Management, Hospitality, or a related field.
· Proven experience in MICE contracting or a similar role within the travel & tourism, hospitality or events industry.
· Strong negotiation skills and a track record of successfully securing favorable contracts.
· In-depth knowledge of the MICE industry, including current market trends and supplier landscapes.
· Excellent communication and interpersonal skills.
· Detail-oriented with strong organizational and project management abilities.
