Position Summary

The Admin Executive is essential to the smooth functioning of the Admin Department, ensuring effective management of inventories, staff, and facilities. This role includes coordinating food services, security, sanitation, and official vehicle maintenance. Additionally, the Admin Executive is responsible for vendor management and supporting the planning and execution of administrative and organizational activities.

Key Responsibilities

Inventory Management:
  • Maintain accurate records of all Admin department inventories, ensure inventories are regularly updated and aligned with company needs in collaboration with the Accounts department.

Vendor and Procurement Management:
  • Oversee procurement of essential supplies such as stationary, IT equipment, and kitchen items.
  • Conduct quality checks on vendor purchases and ensure adherence to procurement standards.
  • Foster strong relationships with vendors and ensure timely delivery of goods and services.

Kitchen and Facility Management:
  • Plan and coordinate kitchen-related functions, including menu preparation, inventory management, and quality control.
  • Assign tasks to kitchen staff to ensure proper service, maintenance, and cleanliness.

Sanitation and Cleaning Oversight:
  • Monitor sanitation staff to ensure timely and efficient cleaning schedules are adhered to.
  • Assign additional cleaning tasks as necessary to maintain high standards of cleanliness across facilities.
Repair and Maintenance Coordination:
  • Manage and coordinate repair and maintenance tasks for the office building, Executive guest house, and hostels.
  • Ensure that all repairs are carried out promptly and in line with the maintenance plan.
  • Supervise repair and maintenance staff and contractors to ensure quality work.

Outdoor Staff Management:
  • Supervise and manage the performance of outdoor staff, including kitchen staff, security, drivers, sanitation personnel, and maintenance workers.
  • Ensure high levels of efficiency and performance through continuous monitoring and feedback.

Event and Activity Support:
  • Assist in the planning and execution of company events, functions, and extracurricular activities.
  • Work closely with the Deputy Manager Admin and Admin Manager to organize and ensure smooth operations during these events.

Vehicle Management:
  • Oversee the maintenance, fuel and Engine oil of official vehicles to ensure they are in optimal condition for use.
  • Ensure that repairs and servicing are completed within specified timelines.

Approval and Documentation:
  • Seek necessary management approvals for procurement and other activities as required.
  • Assist with providing data for internal audits, ensuring accurate documentation is maintained.

Vendor Correspondence:
  • Provide letters and correspondence to vendors, in coordination with the HR department, as needed.

Reporting:
  • Provide detailed monthly reports to the Admin Manager on all activities, inventories, and staff performance.

Other Duties:
  • Perform duties as assigned by the Management.
