JOB DESCRIPTION:


As a Training Coordinator, your role is essential in managing the end-to-end operations of the Central Technical Academy (CTA), Vadodara, ensuring seamless administration, infrastructure readiness, and effective execution of technical training programs.


 


This role combines academy administration (50%) and training management (50%), ensuring the academy delivers high-quality, compliant, and impactful capability-building programs aligned with business and regulatory requirements.


 


Here are the key responsibilities:



  1. Academy Administration & Operations



  • Manage day-to-day operations of the Central Technical Academy (CTA)

  • Ensure training infrastructure readiness (classrooms, equipment, materials, digital tools)

  • Coordinate training schedules, calendars, and logistics across batches

  • Handle vendor coordination (training partners, external faculty, infrastructure support)

  • Monitor and manage training-related documentation and records

  • Ensure audit-ready documentation for all training activities

  • Track utilization of academy resources and ensure optimal usage

  • Support budget tracking and cost control for training programs

  • Drive process standardization and smooth functioning of academy operations


 


2. Training Program Management



  • Plan and execute technical training programs aligned with business needs

  • Coordinate with SMEs, QA, Plant, and functional teams to deliver training interventions

  • Manage induction and onboarding programs for technical employees

  • Ensure timely execution of the annual training calendar

  • Track training completion, attendance, and adherence

  • Support competency-based training initiatives and skill matrix updates

  • Ensure SOP and compliance training coverage


 


3. Training Delivery & Specialized Programs


 



  • Deliver selected technical / functional training sessions as required

  • Facilitate specific modules depending on expertise (process, systems, compliance, etc.)

  • Support Train-the-Trainer initiatives and internal faculty development


4. Compliance & Audit Readiness



  • Ensure all training activities comply with GxP / GMP requirements

  • Maintain training records and systems in audit-ready condition

  • Support internal and external audits related to training

  • Ensure retraining and certification compliance


 


5. Digital & Reporting



  • Use LMS to track training data, completion, and compliance

  • Generate periodic reports and dashboards for stakeholders

  • Monitor overdue trainings and drive closure

  • Support digitization and continuous improvement of training systems


 


6. Stakeholder Coordination



  • Work closely with Plant, QA, HR, and functional teams for training execution

  • Act as the central coordination point for all academy activities

  • Ensure alignment between administrative planning and training delivery


 


Following skills are essential:



  1. Communication Skills: Strong communication is crucial for interacting effectively with employees at all levels and ensuring training content is well understood.

  2. Organizational Abilities: A Training Coordinator must handle multiple tasks simultaneously and manage training events efficiently.

  3. Technical Aptitude: Proficiency in using tools like MS Office and Learning Management Systems (LMS) is valuable.

  4. Building Rapport: The ability to build rapport with employees and vendors fosters a positive training environment.

  5. Time Management: Effective time management ensures smooth coordination of training activities.

  6. Education and Experience: A Bachelor’s degree and 6-8+ years' experience in Education, Training, HR, or a related field is beneficial.
