The Assistant Manager – Procurement Officer will be responsible for managing end-to-end procurement operations while ensuring full compliance with organizational procurement policies, financial regulations, and statutory requirements. The role requires strong discipline, attention to detail, and the ability to work with internal teams and external vendors to ensure transparent, efficient, and audit-ready procurement processes.
Key Responsibilities:
1. Procurement & Vendor Management
Manage the full cycle of procurement including receipt of purchase requests, sourcing, and vendor coordination
Obtain quotations, prepare comparative analysis, and conduct cost-benefit evaluations
Identify, verify, and onboard vendors while ensuring compliance with documentation and regulatory requirements
Maintain and update vendor empanelment records and databases
Support negotiation discussions with vendors to ensure value-for-money procurement
Prepare purchase orders, work orders, and vendor agreements as per internal processes
2. Compliance & Documentation
Ensure adherence to internal procurement policies, financial guidelines, and statutory regulations
Maintain complete documentation for procurement activities for audit readiness
Support internal audit and donor audit processes by preparing required documentation
Assist in statutory audit requirements including data compilation and submission
Ensure compliance with income tax provisions, GST regulations, and applicable financial laws
3. Coordination & Reporting
Coordinate with internal teams for procurement requirements and approvals
Liaise with vendors and ensure smooth communication and execution of procurement activities
Track procurement timelines, approvals, and delivery status
Prepare periodic reports related to procurement activities and vendor performance
Profile Requirements:
1. Education & Experience
Commerce Graduate or Postgraduate in Finance, Business Administration, or related field
Minimum 5 years of experience in procurement, vendor management, or finance operations
2. Technical & Functional Skills
Strong understanding of income tax provisions, GST, statutory compliance, and regulatory frameworks
Experience in procurement systems, documentation, and audit processes
Proficiency in MS Office, especially Excel and Word (mandatory)
Familiarity with ERP systems will be an added advantage
3. Core Competencies
Strong negotiation and communication skills
High attention to detail and accuracy
Analytical thinking and problem-solving ability
Ability to manage multiple stakeholders and deadlines effectively
Strong ethical judgment and compliance mindset
Preferred Experience:
Experience working in structured procurement environments or audit-heavy roles
Exposure to donor-funded, non-profit, or compliance-driven organizations will be an advantage
Experience in cross-functional coordination with finance, operations, and program teams
