Role Overview:

The Investment Management Billing Specialist is responsible for managing end-to-end billing operations for investment management clients. This role ensures accurate account setup, timely invoicing, proper accruals, and compliance with internal controls and regulatory requirements. The position requires strong analytical skills, attention to detail, and the ability to work collaboratively with portfolio managers, finance teams, and client service teams.

Key Responsibilities:

1. Account & Client Setup

  • Establish and maintain client accounts in billing systems.
  • Validate client agreements, fee schedules, and billing instructions.
  • Ensure accurate mapping of portfolios to client accounts.

2. Onboarding Workflow

  • Coordinate with client onboarding teams to capture billing requirements.
  • Review legal documentation for fee terms and service-level agreements.
  • Set up billing parameters and ensure readiness for invoicing.

3. Portfolio Aggregation

  • Consolidate portfolio/account data for fee calculation, including aggregation across multiple mandates or pooled vehicles.
  • Validate portfolio valuations and reconcile discrepancies.
  • Ensure accurate allocation of fees across accounts and sub-accounts.

4. Accruals

  • Calculate monthly/quarterly accruals for management fees.
  • Post accrual entries in the general ledger.
  • Monitor variances between accruals and actual invoicing.

5. Invoicing & Distribution

  • Generate invoices based on agreed fee schedules.
  • Validate invoice accuracy against portfolio valuations and agreements.
  • Distribute invoices to clients and internal stakeholders.

6. Pooled Invoices

  • Consolidate multiple accounts into pooled invoices where applicable.
  • Ensure correct allocation of fees across pooled structures.
  • Maintain transparency and audit trail for pooled billing.

7. Payments

  • Track client payments and reconcile against invoices.
  • Follow up on outstanding receivables and escalate as needed.
  • Process refunds or adjustments in compliance with policies.

8. General Ledger & Postings

  • Record billing transactions in the GL accurately and timely.
  • Reconcile billing-related GL accounts monthly.
  • Support internal and external audits with required documentation.

Qualifications & Skills:

  • Education: Bachelor’s degree in Finance, Accounting or related field (CPA / CFA preferred)
  • Experience: 5–10 years in Investment Management or Wealth Management billing space
  • Strong understanding of financial instruments and  portfolio accounting
  • Proficiency in Revport or any other billing platforms.
  • Excellent analytical, problem-solving, and communication skills.
  • Advanced Excel skills; familiarity with data aggregation tools.
  • Proficiency in a BI tools like Tableau and Power BI is an add on.
  • Strong communication and stakeholder management skills.
