The role

Responsible for driving a standardized, compliant, and efficient PR-to-PO process across GBS. Owns global process design, governance (ToA/SoD), and system workflows (ERP/e-Procurement) to ensure right-first-time PO creation, faster cycle times, and improved data quality.

Leads process optimization, automation, analytics, and change management to reduce exceptions and maverick spend, while enhancing stakeholder experience and enabling scalable digital solutions in collaboration with IT and Operations.

What you'll be responsible for

Process Management & Design

•Define and maintain the end-to-end PR→PO global process design, including process maps (BPMN), SOPs, and Desktop Procedures.

•Set entry/exit criteria for PR quality (specs/SoW, coding, tax, terms, budget validation) and release strategy standards.

•Standardize usage of catalogs, contracts/framework orders, blanket POs, service entry sheets, and spot-buy pathways.

•Harmonize approval matrices per Delegation of Authority (DoA) and enforce Segregation of Duties (SoD).

       Governance, Policy & Controls

•Manage PR→PO policy, guidelines, and exception management (thresholds, preferred suppliers, sourcing routes).

•Ensure alignment with SOX/ICFR, anti-bribery/anti-corruption, data privacy, and record retention requirements.

•Establish and monitor control points (pre PO checks, change control, audit trails); drive corrective/preventive actions.

Systems & Data Enablement (ERP / e-Procurement)

•Serve as Tier 3 SME for complex PR/PO issues (pricing/terms deviations, coding/tax questions, SoW quality, duplicates).

•Manage PO change control and ensure appropriate approvals and complete documentation.

•Provide decision support to requesters, buyers, AP, and Receiving to protect 3 way match outcomes.

Performance Management & Analytics

•Define and deliver dashboards for cycle time, right first time %, exception rates, backlog aging, catalog adoption, non PO spend.

•Perform root cause analysis on defects (e.g., invoice holds due to PO errors) and lead remediation sprints.

•Benchmark process performance across regions; publish improvement roadmaps with quantified benefits.

Continuous Improvement & Automation

•Lead Lean/Kaizen events to eliminate waste and standardize best practices; update templates and checklists.

•Identify and implement automation (e.g., workflow rules, validation scripts, RPA—Power Automate/UiPath) to reduce manual touchpoints.

•Partner with Category Management to expand catalog coverage and simplify buying channels.

Change Management, Training & Communication

•Own PR/PO training curriculum, role-based learning paths, and knowledge articles for requesters and operational teams.

•Execute change impact assessments, stakeholder mapping, and communications for new releases/policy changes.

•Facilitate community of practice for super users; track adoption and proficiency metrics.

Audit, Risk & Compliance

•Prepare and support internal/external audits; maintain complete, retrievable evidence and logs.

•Conduct periodic control testing (DoA, SoD, pre PO checks, change logs) and close findings on plan.

•Proactively assess and mitigate risks (e.g., unauthorized commitments, maverick spend, supplier onboarding gaps).

Stakeholder Management & Supplier Collaboration

•Act as the single point of accountability for PR→PO standards with Requesters, Sourcing, AP, Receiving, Finance, and IT.

•Engage suppliers on acknowledgments, order confirmations, SLAs, and resolution of discrepancies impacting execution.

•Drive supplier enablement to preferred channels and standardized terms.

Project Delivery & Rollouts

•Lead PR→PO enhancement releases, regional rollouts, and migrations (template fit gap, UAT, cutover, hypercare).

•Manage project plans, RAID logs, and benefits tracking; report progress to governance forums.

We're looking for someone who

Rather than an exhaustive check list, focus on what really matters.

  • 7+ years of experience in Operational Purchasing within GBS/Shared Services, covering end-to-end process management, transformation initiatives, and steady-state operations.
  • Strong hands-on expertise in SAP S/4HANA and e‑procurement tools (Ivalua, Ariba, Coupa, Oracle, D365), including approval workflows, release strategies, catalogs/punchouts, and contract integrations.
  • Deep knowledge of governance and compliance frameworks such as DoA/SoD, SOX/ICFR, ABAC, ensuring audit readiness and risk mitigation.
  • Proven mastery of PR-to-PO lifecycle, including quality checks, PO release, change management, and 3-way match enablement.
  • Ability to translate procurement policies and risk requirements into effective process controls and system configurations.
  • Good understanding of ERP configuration impacts (approval matrices, master data, and data standards).
  • Solid commercial and tax knowledge, including pricing structures, service SoWs, Incoterms, payment terms, and VAT/GST implications.
  • Strong analytical skills with Excel and Power BI/Tableau, driving data insights, reporting, and automation (RPA/workflows).
  • Fluent in business English with strong stakeholder communication and collaboration skills.
