The role

The Travel & Expense (T&E) – Business Process Expert in the GBS Purchase to Pay organization drives a best-in-class T&E process by defining and governing policies, ensuring efficient and compliant expense management with strong controls. The role focuses on improving compliance, reducing reimbursement cycle time, enabling VAT/GST recovery, and ensuring alignment with local tax regulations, while leveraging platforms, card programs, and analytics to increase visibility, optimize spend, and deliver cost savings.

What you'll be responsible for

  • Policy & Process: Own T&E policy and country addenda (per diems, receipts, mileage, cash advances); govern exceptions; standardize create‑submit‑approve‑audit‑pay flow.
  • Controls & Compliance: Implement pre‑trip approvals, audit/receipt rules, fraud/anomaly detection, MCC/category controls, and card delinquency management; ensure tax reclaim and fringe/benefit compliance where applicable.
  • Technology Enablement: Lead roadmap for expense and booking platforms (mobile receipt capture, OCR, card feeds, OBT integration), and ERP/HR/Payroll interfaces.
  • Program & Supplier Governance: Partner with Procurement on preferred suppliers, rate compliance, travel leakage, and savings tracking.
  • Operations & Experience: Improve reimbursement cycle time, policy compliance %, audit pass rate, and helpdesk resolution time; streamline guidance and training.
  • Analytics & Reporting: Build dashboards on spend, leakage, unused tickets, policy exceptions, VAT reclaim, and (where relevant) carbon indicators/duty of care metrics.
  • Risk & Duty of Care: Align with HR/Security on traveler safety, incident response, and data handling.

We're looking for someone who

Rather than an exhaustive check list, focus on what really matters.

7+ years of experience in T&E process/program management within GBS/Shared Services

  • Expertise in leading expense and travel platforms, booking tools, and corporate card programs with integration exposure across ERP, HR, and Payroll systems
  • Strong understanding of T&E controls, audit frameworks, VAT/GST reclaim, and regional compliance requirements
  • Proven ability to improve policy compliance, reduce cycle times, and enhance user experience through automation and process optimization
  • Skilled in policy design, documentation, and exception governance
  • Proficient in data analysis (Excel, Power BI) to generate insights and drive action planning
  • Effective stakeholder management across Finance, HR, Procurement, IT, Security, and external vendors
  • Experience in vendor and card program management, including issue resolution and performance monitoring
  • Strong communication, training, and change management capabilities with a continuous improvement mindset
