Job Description - CMMS Admin

The Business Systems Analyst (BSA) – Labs
Technology supports the configuration, administration, integration and ongoing
operations of the Labs technology stack within GWS. Working as part of a
broader technology team, this person assists in bridging laboratory operations,
client IT teams and CBRE's internal technology stakeholders. A working
understanding of IFM technology platforms is essential to this role: the Labs
and IFM stacks are related, and this analyst must be able to understand both
environments, identify where they intersect and help ensure data and process
continuity across the full technology landscape. They support accurate system
setups, stable integrations and effective end-user enablement.

Key Responsibilities

System Configuration and Administration

         Support end-to-end setup,
configuration and launch of Labs technology platforms across new and existing
client accounts, especially the tool eMaint.

         Assist in managing system
hierarchies, asset structures, workflows and scheduling configurations to
reflect the operational requirements of laboratory environments.

         Support data integrity across
Labs platforms, assisting in regular audits and corrective action as needed.

         Document system configurations,
change logs and administration procedures to support continuity and audit
readiness in regulated environments.

         Apply working knowledge of IFM
technology platforms to understand how Labs systems relate to the broader GWS
technology landscape and identify dependencies.

Integration and Technical Solutioning

         Facilitate quality integrations
between CBRE Labs technology tools and client enterprise systems to ensure
consistent, reliable data flow.

         Identify and manage integration
points between the Labs technology stack and IFM platforms, ensuring both
environments remain aligned and data flows accurately across them.

         Assess integration and feature
requirements in partnership with business teams, providing clear technical
guidance on configurations at both ends.

         Troubleshoot integration
failures, data mapping issues and API connectivity problems, escalating
appropriately when needed.

         Develop and maintain
integration documentation, including data dictionaries, flow diagrams and
configuration specifications.

         Evaluate technology requests
from on-account teams and clients, articulate downstream impacts across both
Labs and IFM systems, and propose solutions aligned to platform capabilities.

Project Support and Transition Delivery

         Support Labs technology
implementation projects from initiation through hypercare, assisting with
planning, execution, testing, training and sign-off activities.

         Maintain and update transition
documents including implementation timelines, risk logs, action trackers and
project closure records.

         Identify, track and escalate
risks and issues in a timely manner, providing mitigation options to transition
leadership.

         Contribute to project status
reporting, providing input on timeline adherence, open issues and escalations
for senior leadership review.

         Support hypercare sessions with
end users post-go-live, documenting action items and following through to
closure.

         Participate in shift rotation
requirements as the account and project schedule demands.

Training and End-User Enablement

         Assist in documenting system
training programs for end users and administrators, both before and after
go-live.

         Support the development of
training materials including user guides, quick-reference cards and recorded
walkthroughs.

         Respond to post-go-live support
requests, diagnosing issues and providing clear resolution guidance.

Stakeholder Management and Communication

         Translate complex technical
requirements into clear, actionable guidance for system configuration

         Contribute to regular status
updates for transition leadership, including progress, risks and decisions
needed.

         Build effective working
relationships across CBRE and client teams to support collaborative
problem-solving and timely delivery.

Reporting and Analytics

         Support the development of
standard reporting templates that account teams can use independently.

         Analyze system data to identify
trends, anomalies and opportunities for platform or process improvement.

Qualifications

To succeed in this role, the individual
must demonstrate the following knowledge and skills:

         Proven experience administering
or implementing enterprise technology platforms preferably in a laboratory,
life sciences or scientific operations environment.

         Familiarity with IFM technology
platforms (such as CMMS, IBM Maximo, Archibus, Planon or similar) and an
ability to work across both Labs and IFM technology stacks.

         Working knowledge of system
integrations, APIs, SSO and data exchange protocols.

         Strong analytical and
problem-solving skills, with the ability to diagnose technical issues and
recommend solutions.

         Ability to support project
delivery activities, including planning assistance, risk tracking and
stakeholder communication.

         Ability to read and produce
architecture and process flow diagrams.

         Application support and
infrastructure fundamentals.

         Comfortable working across time
zones and in shift-rotation environments.
