The mission of the Contract Administrator is to prepare, negotiate, and review various company contracts, including custom deals, amendments, and partner agreements. The incumbent of this role demonstrates a strong attention to detail, the ability to identify potential risks, and the expertise to optimize contracts to reduce costs and increase profitability and will be responsible for managing contracts, along with familiarity with legal requirements and industry best practices.
Your Impact:
Contract Management & Processing
Prepare and enter new contracts and amendments into the billing system
Ensure contracts are properly set up in the Vendasta Platform and internal reporting trackers
Maintain an organized system of digital and physical contract records, adhering to naming conventionsNegotiation & Collaboration
Own and manage DocuSign processes and templates used across teams
Create language standards for existing and new contracts
Negotiate contract terms with internal teams and assist in discussions with external partners
Ensure internal stakeholders are knowledgeable about company policies, procedures, and contract best practices
Cross-Team Coordination & Process Optimization
Work with Product Management and Marketing teams to assist with company promotions and deals
Collaborate with Sales Operations and other departments to enhance contract fulfillment processes
Gather and manage partner and internal team feedback to identify opportunities for process improvement
Maintain product knowledge and stay informed of changes affecting contract structures and billing systems
Risk Assessment & Compliance
Analyze contract terms to identify potential risks
Work with Legal to process all Mutual Non-Disclosure Agreements (NDAs)
Ensure all contract conditions and deadlines are met
Stay up-to-date with legislative changes and coordinate with the Legal department as needed
What you bring to the table:
2+ years work experience as a Contract Administrator, Contract Manager, or relevant role
Bachelor’s degree or certificate in Business Administration; additional qualifications in law considered an asset
Demonstrated knowledge of legal requirements, as well as accounting procedures, involved with contracts and fulfillment
Ability to work with varying seniority levels, including staff, managers and external partners
World-class written and communication skills
Strong analytical and organizational skills, with keen attention to detail and an ability to spot errors
Highly adaptable, fast learner with technical aptitude for learning Vendasta’s application and solutions
Dependable & motivated, with the ability to work independently; must have an introspective and self-starter mindset—you have ideas and you see them through
