About Jabi Trucking:
We’re a fast-growing US trucking company serving public works and heavy-civil projects. Our India leadership team owns mission-critical ops that keep trucks moving, drivers supported, and audits clean—every time.

The Role:
We’re hiring a senior executive to own and scale Driver Compliance and People Operations for our US fleet. You will design the org, hire and lead the team, build the systems (policies, SOPs, dashboards), and ensure airtight compliance across FMCSA §391 DQ files, Clearinghouse, MVR/PSP, HOS, random/post-accident testing, OSHA/DOT records, California BIT/90-day, and client/DIR requests. You’ll be the single-threaded owner partnering daily with US leadership, Dispatch, Billing/AR, and Certified Payroll—with communication excellence as a non-negotiable.

Key Responsibilities:

  • Leadership & Org Design: Build a high-performing compliance/HR team; define roles, KPIs, training paths; run 1:1s and QCs.
  • Policy & Systems: Write/own policies, SOPs, and checklists; standardize naming/storage; enforce maker-checker controls.
  • DQ & Licensing: Ensure 100% complete DQ files (FMCSA §391); CDL/endorsement/Med Card verifications; prior employer checks.
  • Clearinghouse & Testing: Run pre-employment/annual queries; manage TPA/random pool; coordinate post-accident tests on time.
  • HOS & Safety: Oversee HOS monitoring (e.g., Samsara), resolve unassigned drive time/violations; schedule orientation, monthly toolbox talks, remedial coaching; maintain incident logs and corrective actions.
  • California Compliance: Oversee BIT/90-day inspections, unit binders, DVIR close-outs (e.g., WhipAround); coordinate with the shop for timely repairs/records.
  • Audits & Client Requests: Lead responses for DOT/DIR/insurance/client pre-quals; keep terminal/driver/equipment files audit-ready.
  • HR Operations Interface: Ensure clean onboarding (I-9/W-4/DD/acks), status changes, leaves, separations; partner with Payroll on accurate, timely changes.
  • Cross-Functional Communication: Run Welcome Call → Day-1 → Day-7 → Day-30 cadence; publish weekly compliance report to leadership (expiries, HOS, incidents, audits).
  • Vendors & Risk: Manage TPAs, clinics, labs, MVR/PSP providers, and insurers; drive corrective actions and close the loop on incidents/claims.

What We’re Looking For:

  • 8–12+ years in trucking/logistics driver compliance/safety/HR, with 3–5+ years leading managers/teams.
  • Proven ownership of FMCSA §391, Clearinghouse, MVR/PSP, HOS, random/post-accident testing, and California BIT/90-day.
  • Executive-level communication: crisp status, clear decisions, strong escalation and de-escalation.
  • Systems builder: SOPs, dashboards (Google Sheets/Looker), audits, and continuous improvement.
  • Tools: Samsara (or similar ELD), WhipAround (or DVIR equivalent), CDL Suite/HRIS, Google Workspace, e-signature.
  • Comfortable working US Pacific night shift and partnering directly with US leadership.

Communication Standards (for your org):

  • SLA: Driver messages acknowledged within 2 business hours; next-step or resolution in ≤24 hours.
  • Cadence: Welcome Call (pre-start) → Day-1 → Day-7 → Day-30 → monthly safety touchpoints.
  • Channels: Phone/WhatsApp/Email; always send written recaps with due dates and owners.

Executive KPIs:

  • DQ completeness: 100% before dispatch; 0 critical audit findings.
  • Expiries: 0 drivers/equipment operating with expired CDL/Med Card/registration/insurance.
  • HOS: Violation rate ↓ MoM; 100% unassigned drive time cleared weekly.
  • BIT/90-day: 100% on-time inspections; clean terminal files.
  • Testing compliance: Random pool and post-accident tests completed within required windows.
  • SOP/QC: ≤0.5% documentation error rate on weekly samples; all SOPs current and followed.
