Job Description - Executive Assistant to MD

## What you\u2019ll do:\n\nEaton announced, on January 26, 2026, the intent to separate its Mobility Group (including both the Vehicle and eMobility segments) into an independent, publicly traded company. We expect to complete the separation by the end of the first quarter of 2027. As a standalone company, the Mobility business will be more focused and agile, creating exciting opportunities for employees to grow, innovate, and help shape the future of mobility. The separation reflects strong confidence in the Mobility team and positions the new company as an employer of choice in the automotive and commercial vehicle industry. The compensation and benefits that will initially be offered for this position are based on Eaton\u0027s plans, programs and practices. If you are offered and accept this position and are actively employed by the Mobility Group when the spinoff closes, the new company will provide further details to employees concerning compensation and benefits at that time.\n\nProvide executive support to the Managing Director, ensuring priorities, time, and key engagements run smoothly. Lead core office administration and facilities coordination to maintain a safe, compliant, and high\u2011quality workplace experience.\n\nThis position is responsible for sourcing , having following responsibility:\n\n. 1. Executive Support to Managing Director \n\u2022 Proactively manage the MD\u2019s calendar, meetings, and priorities, ensuring optimal use of time and focus on business critical matters \n\u2022 Act as the primary point of contact for internal and external stakeholders engaging with the MD \n\u2022 Prepare and coordinate meeting agendas, presentations, briefing notes, and executive communications \n\u2022 Organize and support MD led meetings, leadership reviews, townhalls, and key business interactions \n\u2022 Track decisions, action items, owners, and timelines arising from MD meetings and drive follow through \n\u2022 Manage end to end travel planning for the MD, including leadership visits, customer meetings, and VIP engagements \n\n2\\. Stakeholder \u0026 Communication Management \n\u2022 Interface effectively with senior leaders, global teams, customers, and external partners on behalf of the MD \n\u2022 Ensure timely information flow, approvals, and responses, maintaining confidentiality and professionalism \n\u2022 Support coordination of leadership visits, executive reviews, and critical organizational events \n3\\. Confidentiality, Governance \u0026 Process Discipline \n\u2022 Handle highly confidential and sensitive information with discretion and sound judgment \n\u2022 Maintain structured records of correspondence, approvals, and key MD documentation \n\u2022 Support governance discipline through documentation, trackers, and follow up mechanisms \n\n4\\. Office Administration \u0026 Facilities Support \n\u2022 Oversee day to day office administration, including facilities, housekeeping, security, and reception coordination \n\u2022 Ensure a safe, professional, and well maintained workplace for employees and visitors \n\u2022 Coordinate with facility management and service vendors to ensure service quality and continuity \n5\\. Vendor, Asset \u0026 Cost Management \n\u2022 Manage office vendors, service agreements, and renewals in line with company standards \n\u2022 Track office assets, supplies, and administrative inventories \n\u2022 Support cost discipline and budget adherence for office administration expenses \n\n6\\. Compliance, Safety \u0026 Employee Support \n\u2022 Support adherence to internal policies, safety standards, and statutory requirements related to office operations \n\u2022 Maintain audit ready administrative documentation and records \n\u2022 Coordinate onboarding and visitor logistics, including workspace readiness, access, and hospitality \n\n## Qualifications:\n\n\u2022 Graduate , additional qualifications will be an advantage \n\u2022 3-6 years of experience working in MD \u2018s office and Basic Administration \n\n## Skills:\n\n\u2022 Excellent communication skills in English (written \u0026 verbal) \n\u2022 Cross Functions Team Working Skills due to Matrix Organization reporting \n\u2022 Analytical skills \n\u2022 Strong executive presence and professional communication \n\u2022 High levels of discretion, judgment, and integrity \n\u2022 Excellent planning, organization, and follow through skills \n\u2022 Ability to manage multiple priorities in a fast paced environment \n\u2022 Strong stakeholder management and coordination capability \n\u2022 Proficiency in MS Office (Outlook, PowerPoint, Excel) \n
