Position Name: Executive Schedule/Resource Planning Executive


Department: Workforce Management Team

Job Summary

The Resource Planning Executive will be responsible for creating, managing, and overseeing schedules for clinical and support operations teams while ensuring optimal workforce utilization and operational efficiency. The role involves close coordination with Operations, Finance, and HR teams to maintain accurate scheduling, reporting, workforce planning, and backup coverage plans.

Key Responsibilities

Scheduling & Resource Planning

  • Develop and maintain support operations schedules to ensure optimal resource utilization and coverage.
  • Manage and oversee radiologist schedules considering availability, workload, and operational requirements.
  • Review schedules regularly with team leaders and stakeholders to improve efficiency and resource allocation.

Workforce Management

  • Monitor staffing requirements and ensure adequate workforce availability to meet operational demands.
  • Manage leave, offs, and shift planning while maintaining smooth operational coverage.
  • Prepare monthly gap analysis reports and share insights with Operations and HR leadership.

Reporting & Coordination

  • Provide accurate operational logs and reports to the Finance team within defined timelines.
  • Coordinate closely with HR and Finance teams to resolve scheduling conflicts and ensure smooth workflow management.
  • Analyze operational data, workload trends, and forecasting requirements to support planning decisions.

Backup & Capacity Planning

  • Develop backup and disaster management plans to minimize operational disruptions.
  • Conduct capacity planning based on historical data, demand forecasting, and business requirements.
  • Ensure efficient allocation of organizational resources across operations teams.

Process Improvement

  • Identify opportunities for process improvement, automation, and operational efficiency enhancement.
  • Support implementation of workforce management best practices and technology -driven solutions.

Preferred Skills

  • Strong knowledge of Microsoft Excel including advanced functions, reporting, and data analysis.
  • Basic knowledge of Power BI and dashboarding tools is an added advantage.
  • Strong analytical and problem -solving skills.
  • Ability to generate actionable insights from operational data.
  • Flexible and adaptable to changing operational and shift requirements.
  • Good communication and stakeholder management skills.

Qualification

  • Bachelor’s degree in Business Administration, Management, Analytics, Healthcare Administration, or related field preferred.
