The Facility Manager shall be responsible for ensuring the efficient, safe, and smooth operation of the organization’s premises. This role oversees building maintenance, housekeeping, security, space utilization, vendor management, and cost optimization while ensuring a professional and conducive work environment.
1. Facility Operations & Maintenance
Manage day-to-day operations of the office building and infrastructure.
Oversee upkeep of HVAC, electrical, plumbing, elevators, and other utilities.
Ensure preventive and corrective maintenance schedules are adhered to.
2. Security & Safety
Supervise security operations and ensure 24/7 safety of premises, assets, and employees.
Implement and monitor fire safety systems, CCTV, and access control.
Conduct emergency preparedness drills and risk assessments.
3. Housekeeping & Administration
Ensure cleanliness, sanitation, and hygiene across all office areas.
Manage pantry, cafeteria, and waste management services.
Supervise housekeeping staff and ensure service quality.
4. Vendor & Contract Management
Identify, appoint, and manage service providers for housekeeping, security, maintenance, etc.
Negotiate contracts, monitor SLAs, and ensure vendor performance.
Maintain AMC agreements and track renewals.
5. Space & Asset Management
Plan and allocate office space to optimize seating and resource utilization.
Maintain asset registers and oversee office equipment usage.
Coordinate internal office moves, workstation setups, and seating changes.
6. Compliance & Documentation
Ensure compliance with statutory and safety regulations.
Maintain records of licenses, NOCs, and government clearances.
Conduct periodic audits and inspections.
7. Budgeting & Cost Optimization
Prepare and monitor annual facility budgets.
Track expenses, control overheads, and implement energy-saving initiatives.
Recommend improvements for operational efficiency.
Bachelor’s degree in Facilities Management, Engineering, Business Administration, or related field.
7–12 years of experience in facilities management, preferably in corporate/real estate sectors.
Strong knowledge of building systems, statutory norms, and safety protocols.
Excellent leadership, vendor management, and negotiation skills.
Strong organizational, problem-solving, and crisis management ability.
Proficiency in MS Office and facility management software.
Result-oriented with strong attention to detail.
Ability to manage multiple priorities simultaneously.
Strong interpersonal and communication skills.
Strategic thinker with hands-on execution ability.
