We are hiring a Marine Finance Executive – Port Cost Management to oversee financial control and settlement of port-related costs across international shipping operations. This role plays a critical part in ensuring financial accuracy, cost transparency, and compliance across port calls by managing Port Disbursement Accounts (PDAs) from estimation to final settlement.
The role requires strong marine accounting knowledge, a sharp eye for detail, and the ability to coordinate effectively with operations teams, port agents, and finance stakeholders across geographies.
Key Responsibilities
Port Cost Management & Accounting
Handle end-to-end processing of port cost estimates, advances, and final settlements
Register, track, and validate port-related invoices and financial documents
Review final port cost statements against applicable port tariffs, operational records, and contractual terms
Ensure accurate reconciliation of estimated versus actual port costs
Financial Controls & Compliance
Apply internal accounting controls and compliance standards to all port-related financial activities
Ensure correct cost allocation, account coding, and posting in marine finance systems
Maintain audit-ready documentation and transparent financial records
Support internal and external audits related to port and agency expenses
Stakeholder Coordination
Act as the primary finance contact for port agents, charterers, and internal operations teams
Resolve billing discrepancies, documentation gaps, and cost clarifications in a timely manner
Coordinate closely with Operations, Chartering, and Finance to ensure smooth port cost closures
Systems & Process Excellence
Work within marine ERP and accounting platforms (e.g., Veson IMOS, HarborLab or similar systems)
Track open items, settlements, and outstanding balances across multiple port calls
Contribute to process improvements aimed at increasing efficiency, accuracy, and turnaround times
Support ad-hoc projects related to cost optimization, reporting, or system enhancements
Required Experience & Capabilities
Proven experience in marine accounting, port cost management, or shipping finance
Strong understanding of port disbursement accounts, port tariffs, Statements of Facts (SOF), and charter party clauses
Excellent numerical accuracy with strong analytical and reconciliation skills
Ability to manage multiple port calls, deadlines, and stakeholders simultaneously
High attention to detail with a structured and disciplined working approach
Strong written and verbal communication skills in English
Comfortable working with digital tools, spreadsheets, and collaboration platforms (M365)
Hands-on experience with Veson IMOS or similar marine systems is a strong advantage
