Technical/Functional

- Strong knowledge of export booking processes, vessel planning, and international shipment execution.
- Good understanding of export documentation (Commercial Invoice, Packing List, Bill of Lading, Certificate of Origin, FTA documents, etc.).
- Well-versed in INCOTERMS, international trade regulations, customs procedures, and export compliance.
- Experience in ERP systems (preferably SAP) and shipment/booking management platforms.
- Hands-on experience coordinating with shipping lines, freight forwarders, CHAs, ICDs, ports, and distributors.
- Strong understanding of vessel schedules, booking cut-offs, container planning, and shipment tracking.

1. Export Booking Management
- Plan and arrange export bookings based on distributor requirements, production readiness, payment status, and vessel schedules.
- Coordinate with distributors, regional business teams, shipping lines, and freight forwarders to secure timely vessel bookings and optimize shipment planning.
- Liaise with CHAs to ensure timely availability of containers at ports, ICDs, and manufacturing locations.
- Monitor booking confirmations, vessel rollovers, cut-off timelines, and sailing schedules, and proactively resolve capacity constraints.
- Optimize shipping routes, transit times, and freight utilization while ensuring adherence to customer delivery commitments.
- Maintain booking dashboards and shipment visibility until cargo loading.
2. Export Documentation Management
- Prepare, verify, and release Commercial Invoices, Packing Lists, Bills of Lading, Certificates of Origin, FTA documents, and other statutory export documents.
- Ensure timely sharing of pre-shipment and post-shipment documents with CHAs, banks, freight forwarders, and distributors.
- Maintain high accuracy and compliance across all export documentation processes.
3. Compliance & Country Requirements
- Understand and maintain documentation requirements for various countries and update changes in international trade regulations.
- Maintain Hazardous/Non-Hazardous product classification and ensure compliance with shipping and customs regulations.
- Coordinate with government agencies, chambers of commerce, and certification authorities for COO, FTA, and statutory certificates.
4. Coordination & Stakeholder Management
- Coordinate with CHAs, freight forwarders, shipping lines, ports, ICDs, and internal stakeholders to ensure smooth shipment execution.
- Resolve booking and documentation-related issues impacting shipment timelines.
- Support Finance in LC documentation, shipment closure, and audit compliance.
- Collaborate with Operations, Sales, Planning, and Logistics teams to ensure timely dispatches against vessel schedules.
5. Data Management & Process Control
- Maintain Country–Product–Document and Booking Master data for efficient shipment execution.
- Monitor booking status, vessel utilization, shipment adherence, and documentation KPIs.
- Prepare reports on booking performance, vessel utilization, rollover analysis, and documentation accuracy.
- Develop cost sheets for COO and maintain data accuracy.
6. Digital Initiatives & Automation
- Drive digitization of booking and documentation workflows through ERP and digital platforms.
- Implement shipment tracking dashboards, booking approval workflows, and container visibility tools.
- Support automation initiatives for booking allocation, documentation generation, and shipment status reporting.
- Improve end-to-end shipment visibility through integration with shipping lines, freight forwarders, and ERP systems.
7. Team Management & Development
- Lead and mentor the Booking & Documentation team to achieve timely and error-free shipment execution.
- Allocate responsibilities, monitor performance, and ensure adherence to shipment timelines.
- Train team members on booking processes, documentation compliance, trade regulations, and digital tools.
- Drive continuous process improvement and operational excellence initiatives.
