Role Overview
We are seeking a technically capable and proactive Microsoft 365 Systems Administrator to join our Technology team in Mumbai.
This role plays a key part in the day-to-day administration and operation of the Group’s technology environment across our international offices. Our environment is centred around Microsoft 365, including Exchange Online, Microsoft Entra ID, SharePoint, OneDrive and Teams, alongside a range of business applications, security technologies and endpoint management solutions.
We are looking for someone with genuine hands-on Microsoft 365 administration experience who understands how the wider Microsoft environment fits together. The successful candidate should be comfortable working directly within the Microsoft 365 tenant, investigating technical issues, implementing changes, managing identities and access, administering Exchange Online and using PowerShell for administration and automation.
Alongside the technical responsibilities, this is also an operational ownership role. The successful candidate will be responsible for key IT processes including onboarding and offboarding, documentation, audits, access management, asset and application records, licensing and ongoing process improvement.
This is not a traditional service desk role, nor is it a purely engineering-focused position. It combines hands-on Microsoft 365 administration with ownership of the operational processes, documentation and governance required to maintain a well-controlled IT environment.
The role will work closely with our outsourced IT provider and other specialist technology partners. The successful candidate is expected to develop strong internal technical knowledge, independently investigate and resolve issues where possible, and work intelligently with external specialists where required.
Key Responsibilities
Microsoft 365 & Systems Administration
Administer the Group’s Microsoft 365 environment across its international operations.
Manage users, licences, groups, roles, permissions and access across Microsoft 365.
Administer Microsoft Entra ID, including user identities, groups, roles and access.
Support and administer Microsoft Teams, SharePoint Online and OneDrive.
Monitor Microsoft 365 service health and investigate tenant-level issues.
Troubleshoot Microsoft 365 issues beyond standard end-user support and identify root causes.
Develop a strong understanding of how the Group’s Microsoft environment and wider business applications integrate and interact.
Exchange Online & Email Administration
Administer Exchange Online, including user and shared mailboxes, permissions, aliases and mailbox configuration.
Create and manage Distribution Groups, Dynamic Distribution Groups and mail-enabled groups.
Manage mailbox delegation, Full Access, Send As and Send on Behalf permissions.
Manage mail flow rules and investigate email delivery issues using message tracing and other Exchange tools.
Support the administration and integration of Mimecast and other email security technologies.
Investigate and resolve Exchange Online and Outlook-related issues.
PowerShell & Automation
Use PowerShell as part of day-to-day Microsoft 365 and Exchange Online administration.
Develop and maintain scripts for bulk administration, reporting and repetitive administrative tasks.
Use PowerShell to query and manage users, groups, mailboxes, permissions and other Microsoft 365 configuration.
Identify opportunities to automate manual IT processes and improve operational efficiency.
Experience with Microsoft Graph or Microsoft Graph PowerShell would be advantageous.
Identity, Access & Security
Manage user identities and access within Microsoft Entra ID.
Support Multi-Factor Authentication, Conditional Access and other identity controls.
Investigate authentication, sign-in and access issues using Microsoft administrative tools and logs.
Maintain appropriate access and permissions throughout the employee lifecycle.
Support Microsoft Defender and other Microsoft security technologies where relevant.
Work with the internal Technology team, cybersecurity function and external IT provider on security-related matters.
Support periodic access reviews and ensure appropriate privileged access and least-privilege principles are followed.
Cybersecurity forms an important part of good Microsoft 365 administration; however, this is not a dedicated cybersecurity role.
Endpoint & Device Management
Support the management of corporate devices through Microsoft Intune and associated endpoint technologies.
Work closely with our external IT provider on device enrolment, configuration, compliance and endpoint policies.
Investigate device registration, compliance and access issues and coordinate technical resolution where required.
Support the rollout and ongoing improvement of device management and endpoint controls.
Maintain oversight of the corporate device estate and ensure device records remain accurate.
Develop sufficient technical understanding of endpoint policies and configurations to review changes, troubleshoot issues and work effectively with specialist providers.
IT Operations & Employee Lifecycle
Own and coordinate the IT elements of employee onboarding, internal role changes and offboarding.
Ensure accounts, licences, equipment, access and permissions are provisioned and removed accurately and on time.
Maintain and continuously improve onboarding and offboarding processes, checklists and supporting documentation.
Work closely with HR and departmental managers to ensure technology requirements are captured and completed.
Support day-to-day technical requirements from employees across the Group and take ownership of issues through to resolution.
Escalate to external specialists where appropriate while retaining internal ownership of the issue.
Documentation, Audit & Governance
Maintain accurate IT documentation, technical guides, system information and standard operating procedures.
Maintain key IT registers, including asset, application, access and other technology-related records.
Support periodic user access, licence and permission reviews.
Assist with internal and external IT audits, including gathering evidence, responding to information requests and tracking remediation actions.
Maintain appropriate records of IT changes, approvals and key technical decisions.
Support technology governance and compliance requirements applicable to the Group.
Ensure documentation remains current as systems, configurations and processes change.
Applications, Licensing & Wider Technology
Develop a strong understanding of the Group’s wider application and technology environment.
Support the administration and troubleshooting of third-party business applications and integrations.
Maintain oversight of software licences, allocation, utilisation and renewals.
Support technologies including Mimecast, endpoint management/RMM platforms, telephony and network infrastructure where required.
Coordinate with application vendors and external technical providers where specialist assistance is required.
Assist with system implementations, upgrades, integrations and technology changes.
Projects & Continuous Improvement
Participate in and independently deliver Microsoft 365 and wider IT improvement projects.
Identify opportunities to improve configuration, automation, reliability and administrative processes.
Test and implement technology changes in a controlled manner.
Assist with migrations, system rollouts and technology upgrades.
Identify recurring issues and implement improvements rather than relying solely on reactive support.
Continuously look for opportunities to strengthen internal technical capability and reduce unnecessary reliance on external support.
External IT Provider & Vendor Management
Work closely with our outsourced IT provider on infrastructure, endpoint and specialist technical matters.
Independently investigate and resolve issues that can appropriately be managed internally.
Understand and review technical recommendations and changes proposed by external providers.
Coordinate escalations where specialist expertise or provider-level access is required.
Track actions and ensure issues are followed through to completion.
Work with technology vendors and service providers to maintain effective and reliable IT services.
Essential Experience & Skills
We are looking for someone with genuine hands-on administration experience rather than primarily service desk or end-user support experience.
The successful candidate should have:
4–7+ years’ experience in Microsoft 365 administration, systems administration, cloud administration or a similar technical role.
Strong hands-on experience administering a Microsoft 365 tenant.
Strong practical knowledge of Exchange Online administration.
Hands-on experience with Microsoft Entra ID / Azure Active Directory.
Practical experience using PowerShell for Microsoft 365, Exchange or systems administration.
Experience managing users, groups, permissions, licences and access controls.
Good working knowledge of Microsoft Teams, SharePoint Online and OneDrive.
Good understanding of Windows environments and endpoint administration.
Strong troubleshooting skills and the ability to investigate technical issues independently.
Experience managing operational IT processes such as onboarding, offboarding, access management and documentation.
Strong written and spoken English with the ability to communicate technical issues clearly.

Qualifications
Bachelor’s degree in Information Technology, Computer Science, Computer Engineering or a related discipline preferred.
Relevant Microsoft certifications would be advantageous, particularly certifications relating to Microsoft 365 Administration, Identity & Access Management, Endpoint Administration or Azure.
Practical hands-on experience will be considered alongside formal qualifications.

Understands that good IT administration also requires accurate documentation, controlled processes and effective governance.
Is equally comfortable investigating a Microsoft 365 issue, improving an onboarding process or preparing information for an IT audit.
Is organised and able to manage recurring operational responsibilities alongside technical projects.
Can work effectively with external specialists while maintaining internal ownership and understanding.
Is interested in continuously improving the technology environment rather than simply maintaining it.
