About the Office Coordinator role...

We are seeking an energetic, highly organized, and proactive Office Coordinator to serve as the operational backbone of our office. In this role, you will be the ultimate facilitator - managing day-to-day admin tasks, coordinating office facilities, and providing crucial support to our HR, Finance, and ICT teams.
This is a dynamic, "hands-on" position perfect for someone who thrives in a fast-paced environment, loves variety, and takes pride in creating a seamless, welcoming workplace culture.

What you'll do

  • Office Coordination & Admin Support

    • Act as the primary point of contact for daily office operations, maintaining a professional and welcoming environment.

    • Manage meeting room bookings, calendar coordination, and general office logistics.

    • Handle essential administrative requests and coordinate incoming/outgoing mail and courier logistics.

  • Executive Facilitation & Event Planning

    • Lead the coordination for Senior Leadership Team (SLT) and Executive Leadership Team (ELT) visits, including catering selection, room setups, and itinerary facilitation.

    • Organize and execute vibrant team events, celebrations, and internal office gatherings.

  • Facilities & Pantry Management

    • Oversee daily facilities operations, ensuring the office is clean, organized, and fully functional.

    • Manage inventory and ordering for office supplies, snacks, beverages, and pantry essentials.

    • Coordinate with external vendors, building management, and maintenance contractors.

  • Cross-Functional Support (HR, Finance, & ICT)

    • HR Operations: Assist with local HR tasks, including coordinating employee onboarding logistics (setting up desks, preparing welcome kits, and office orientations).

    • Finance Support: Track and manage daily office expenses, handle petty cash, and assist with basic invoice routing and expense reconciliation.

    • ICT Facilitation: Serve as the on-site liaison for the IT department—helping troubleshoot basic setup issues, managing local hardware inventory, and ensuring meeting room tech is operational.

What you'll bring

  • Experience: Strong experience in office administration, facilities management, or a similar coordinator-style role.

  • Skills: Strong organizational skills with the ability to prioritize tasks and multitask effectively.

  • Tech Savvy: Proficient with Google Workspace. Ability to quickly adapt to internal HR, Finance, and ICT tools.

  • Communication: Exceptional verbal and written communication skills with a customer-service mindset.

  • Attributes: Resourceful, reliable, and discrete when handling confidential HR or financial information. A true problem-solver who brings positive energy to the team.
